Introduction

PROJECT: Global Health Supply Chain – Procurement and Supply Management (GHSC-PSM) Haiti

Background: The Procurement and Supply Management project will be the primary vehicle through which USAID will 1) procure and provide health commodities, 2) provide technical assistance to improve partner countries’ management of the supply chain, and 3) collaborate with key international stakeholders to support global health initiatives. The Haiti office will work under two of the project’s task orders (HIV/AIDS and Population and Reproductive Health) to provide commodities and supply chain technical assistance.


Fonctions

The Human Resources Assistant will be responsible to provide Administrative Support to the Human Resources department to meet the objectives of the GHSC-PSM Haiti project. The Human Resources Assistant will have the following duties and responsibilities:

Tasks:

• Compile and update all employee files on SharePoint and in hard copy, including new folders for internal hires and staff promotions.
• Compile all HR processes and checklists implemented by the project on SharePoint and in hard copy.
• Compile and complete all recruitment files to track all stages of the process.
• Support recruitment processes by scheduling interviews with candidates, preparing interview questions, verifying candidate information, collecting references, drafting offer letters, and other tasks as needed.
• Compile in hard copy and on SharePoint all staff timesheets from the year 2020 to present; assist with payroll preparation by collecting timesheets from staff.
• Maintain and update the project’s employee contact list.
• Support the HR team to update its databases.
• Assist with end of contract processes including preparing work certificates, exit checklists, and other tasks, as needed.
• Work with the Senior HR Officer to collect inputs for biodata and salary justification memos.
• Redesign the HR department’s filing system.
• Any other tasks as assigned by the Senior HR Officer or his/her designee.


Qualifications réquises

• Degree in business administration, human resources, or another related field preferred.
• At least 1 year of professional relevant work experience required.
• Experience working on USAID-funded projects or with other international donors is preferred.
• Fluency in French and Haitian Creole is required. Professional proficiency in English (spoken and written) is preferred.


Conditions de travail

The Human Resources Assistant will report directly to the Human Resources Senior Officer

This is a long-term position for the life of the contract based in Port-au-Prince, Haiti
