We are looking for an Administrative Assistant who will be responsible for performing basic accounting and for managing a variety of administrative and logistics tasks. He or she will provide the necessary support to the team, and join in on their commitment to provide exceptional service to customers, clients and suppliers.


Fonctions

Role Description:

Responsibilities include but are not limited to the following:

Logistics:

∗ Provide a range of administrative support such as creating and updating virtual databases, arranging team meetings and workshops, scheduling calls for teams
and assisting analysis and data entry as needed.
∗ Support on project management and deliverables for clients including research, trip coordination, follow up and follow through.
∗ Assistance, as needed, on logistics and business set up (new team members, general support, etc.).
∗ Arranging logistics, reserving conference rooms, preparing materials, etc.
∗ Support on business development, as needed.

Accounting:
∗ Data entry.
∗ Preparing budgets and financial statements.
∗ Preparing invoices.
∗ Tracking expenses and submitting expense reports.
∗ Maintaining updated files for accounts receivable and payable.
∗ Managing banking activities.
∗ Communicating closely with team members to assure optimal collection of data.
∗ Developing and communicating policies and work processes.

Administration:
∗ Archiving and organizing virtual and paper documentation.
∗ Calendar management: scheduling meetings and updating agendas.
∗ Communicating with suppliers and processing payments.
∗ Handling calls and correspondence in a professional and efficient manner.
∗ Acting as receptionist.
∗ Maintaining office supplies.
∗ Handling miscellaneous clerical tasks as assigned.


Qualifications Requises

Education and Experience Requirements:

∗ Fluent in Creole, French and English (written and spoken)
∗ Bachelors or higher degree in Business Administration, Management, or Accounting.
∗ 3+ years of work experience
∗ Solid understanding of accounting
∗ Knowledge of Microsoft office, particularly Excel, Word and PowerPoint
∗ Computer and internet savvy
∗ Excellent communications skills
∗ Extremely detail oriented and organized
∗ Strong interpersonal skills, proactive approach and team player
∗ Ability to prioritize and manage multiple tasks
∗ Ability to work independently
∗ Resourceful and self-motivated
∗ Exhibits a high degree of confidentiality and integrity
∗ Flexibility and willingness to work overtime (when necessary)


Conditions particulières

Although office hours are 8:30 am to 5 pm, the expectation is that all deliverables are completed on the agreed upon dates.


Conditions de travail

Primarily in the office in Pétion-Ville, but will be expected to travel as needed to clients’ sites and offices.
