Introduction
The Procurement and Supply Management project will be the primary vehicle through which USAID will 1) procure and provide health commodities, 2) provide technical assistance to improve partner countries’ management of the supply chain, and 3) collaborate with key international stakeholders to support global health initiatives. The Haiti office will work under two of the project’s task orders (HIV/AIDS and Population and Reproductive Health) to provide commodities and supply chain technical assistance.
Position Purpose:
The Inventory & Logistics Officer will carry out duties designed to meet the objectives of the day- to- day operations of the project. The Inventory & Logistics Officer will carry the following responsibilities.
Fonctions
Logistics:
• Support the snacks for different workshops / meetings.
• Book the hotel rooms for the employees who go on the field and the consultants of the headquarters.
• Prepare advances and mission reports for drivers based on M & I costs allocated per rental.
• Prepare the hotel payment request.
• Make the logistics of the offices of the new employees in partnership with the operations team.
• Supervise the drivers.
• Manage the fleet of vehicles.
• Prepare / Calculate drivers overtime
• Fill up the vehicles and calculate the fuel ratio monthly
• Management of Expat/TCN STTAs including hotel reservations, logistics management (airport pick-up/drop-of, daily transport, telephones and minutes, lunch/dinner support, etc.), ensuring that they have a work space in the office and the necessary office materials to work with, and communicating with the Country Team and Operations Director about their safe arrivals. The Logistics and Inventory Officer will be the main point of contact for Expat/TCN STTAs while in country.
• Perform other duties as may be assigned by her supervisor
Inventory:
• Put labels on new materials / equipment purchased on the project or transferred by MSH.
• Update the inventory tracker.
Qualifications Requises
• Bachelor degree preferred in business administration or related field
• Minimum of 4 years of professional relevant work experience;
• Experience working on USAID-funded projects or other donors is required
• Knowledge of office management system and procedures
• Demonstrate excellent interpersonal skills and ability to be a strong team player
• Present a professional demeanor and exercise professional judgment
• Ability to prioritize work assignments and to work with minimal supervision;
• Excellent writing skills in English and French.
• Advanced computer skills, particularly in MS Office Software, word processing and spreadsheets required.
