DAI seeks an Office Manager for the 4.5 year USAID Safe Water and Sanitation for Haiti project. The project will be based in Cap Haitien with regional offices in Port-au-Prince and other cities. Its focus will be on increasing access to water and sanitation services in government-identified priority cholera “hotspot” communes and on recovering from cyclical disasters such as Hurricane Matthew. The objective will be achieved through 1) increased access to sustainable water supply services; 2) increased access to sustainable sanitation services; and 3) strengthening the enabling environment for sustainably delivering, operating and maintaining WASH services.


Fonctions

Responsibilities:
The Office Manager is the chief administrative staff person for the field office. The Office Manager will oversee all day-to-day business operations of the office. He/she will be expected to coordinate closely with the home office administration staff. The Office Manager’s key tasks are as follows:
• Manage the day-to-day business operations of the field office.
• Ensure reception coverage during business hours.
• Manage the security of the office premises, property therein, and the motor pool.
• Organize full-time driver staff and project vehicles and short-term intermittent drivers, as needed, to meet the travel needs of project staff.
• Work with the IT support staff to ensure the efficient operation of the local area network.
• Perform competitive procurements for goods and services (examples: security, cleaning, office supplies, temporary drivers) and negotiate with vendors.
• Ensure that project staff needs for office equipment, supplies, and furniture are met.
• Communicate with landlord on facilities management, improvement, and repair issues.
• Coordination with the regional office accountants or office administration staff to ensure petty cash needs are met and travel voucher and bank reconciliations are performed as per office policy.


Qualifications Requises

• 3-5 years of experience as an office manager.
• Highly organized and the ability to multi-task.
• Knowledge of budgeting and procuring goods.
• Strong analytical skills with good problem solving skills & creativity, supported by good writing skills.
• Excellent interpersonal communication skills.
• Experience in security coordination and management.
• USAID experience preferred.
• Advanced knowledge of English and language requirements
• Fluency in French and Creole.
