Introduction
The Justice Sector Strengthening Programm in Haiti, commonly known as JSSP is a project funded by the United States Agency for International Development (USAID) and implemented by Chemonics International, which builds on the USAID's previous programs to support the professionalisation, independence and efficiency of the justice sector in Haiti.
This project aims to broaden access to a quality judicial system for Haitian citizens. It will strengthen the judicial system while promoting political support and considering crucial judicial issues in the short and medium term.
JSSP is seeking for an Administrative Assistant who will be responsible for conducting all daily administrative and logistics operations that support the Haiti JSSP team in the implementation of administrative and technical activities. While she will provide operational support to the entire Haiti JSSP team, she will work closely with the Operations Director
Fonctions
• Assist in monitoring and updating periodically project’s equipment and materials
inventory.
• Ensure the proper filing and archiving of all relevant administrative, contractual,
personnel, technical and programmatic documents both via electronic files and hard copy
files.
• Draft and/or record internal and external written correspondence coming in and going out
of the Project Office.
• Maintain project office calendar of activities, employee travel and leave.
• Manage the Petty Cash.
• Take meeting minutes for all team meetings and distribute to team members.
• Organize and manage project report/resource library and project equipment, monitoring
and tracking staff material/equipment use.
• Oversee vehicle management and maintain maintenance logs, log sheets, and fuel usage reports.
• Deliver adequate, timely administrative and logistical support to the technical team, as
needed.
• Translation of documents French into English and vice versa.
• Supervise the drivers and housekeepers.
• Oversee the purchase of office supplies and stationary.
• Plan all transport missions Port-au-Prince and outside of the capital.
• Supervise the preparation and distribution of timesheets for drivers and housekeepers.
• Track and report daily and weekly movement of project vehicles.
• Provide logistic for all program events conducted by technical team.
Qualifications Requises
• Bachelor’s degree in administration or related field
• Minimum of 2 years’ experience in similar position with NGO, USAID-finance project preferred
• Good organizational and planning skills
• Good computer skills (MS Word, Excel, Power Point)
• Good reading, writing and speaking skills in French and English
• Capacity to work under pressure and respectful of deadlines.
