Introduction
The Justice Sector Strengthening Programm in Haiti, commonly known as JSSP is a project funded by the United States Agency for International Development (USAID) and implemented by Chemonics International, which builds on the USAID's previous programs to support the professionalisation, independence and efficiency of the justice sector in Haiti.
This project aims to broaden access to a quality judicial system for Haitian citizens. It will strengthen the judicial system while promoting political support and considering crucial judicial issues in the short and medium term.
Fonctions
• Develop and maintain required administrative office systems
• Assure that all staff are informed of (and follow) office rules and procedures as laid out in the Field Office Policy Manual.
• Assist the Operations Director with the monitoring and updating of the policy and procedure manual as necessary.
• Assist the Financial Manager with financial matters, including coordinating invoices from subcontractors.
• Provide support and logistics for international staff and consultants.
• Prepare all necessary administrative forms for project related items
• Responsible for the procurement of goods and services and ensure compliance with USAID policies and regulations.
• Manage household logistics for expatriate staff if so required.
• Responsible for all logistics of Project’s workshops and activities.
• Arrange for and oversee the maintenance of office equipment.
• Maintain tracking systems, such as inventory and procurement.
• Supervise the maintenance of the Project’s filing system.
• Supervise maintenance/repair of office equipment, air conditioners, office building, electrical and plumbing systems
• Process travel advances, travel and other allowances in a timely manner in accordance with established policy.
• Arrange if necessary medical evacuation coverage and travel insurance, and provide country-specific briefing and travel packages for all traveling parties.
• All other tasks that will required by the supervisor.
Qualifications Requises
• Bachelor’s degree in administration or management or accounting or finance
• Minimum of 3 years in similar position with NGO, USAID-financed projects preferred
• Excellent time management skills and ability to multi-task
• Excellent written and verbal communication skills
• Strong organizational and planning skills
• Good computer skills (MS Word, Excel, Power Point)
• Very good in reading, writing and speaking in French and English
• Capacity to work under pressure and respectful of deadlines
