The Financial Sector Deepening Haiti project (FSDHaiti) supports USAID’s Assistance Objective of promoting a “Stable and Economically Viable Haiti.” FSDHaiti is part of a two-fold financial inclusion program and will facilitate the deepening of the financial sector ecosystem by supporting the development of an enabling environment for the increased provision and usage of basic financial services by undeserved and unserved households and micro, small, and medium-sized enterprises (MSMES), particularly in the U.S. Government-supported rural and agricultural areas in Haiti.


Fonctions

Summary of Primary Duties
The Administrative and Procurement Assistant coordinates closely with the project team to ensure effective operations and administration.

Reporting and location: This position will report to the Operations and Finance Director. This position is based in Port-au-Prince, Haiti.
Essential Duties

General office management
• Primary point of contact to receive and direct calls, office mail, and electronic communications.
• Compose, review and distribute correspondence.
• Interface with parties passing through or using the project office.
• Arrange and schedule meetings and appointments for project staff with NGOs, government representatives, and other institutions.
• Make photocopies of project documents and reports, as needed.
• Ensure office supplies are in stock.
• Carry out other duties that are consistent with overall focus of the task as assigned by the Operations and Finance Director.
Information management
• Develop and maintain office filing systems both for hard and soft copies.

Meeting, travel, and schedule management
• Manage the professional staff calendar of selected staff.
• Take, prepare, and distribute minutes from meetings.
• Prepare materials, reports and presentations for meetings, as needed.
• Make travel arrangements for domestic and international travel for project staff and official office visitors as follows, but not limited to: reserve and confirm all air tickets, hotel reservations, driver services, and other travel arrangements as needed.
Conference and workshop coordination
• Provide support and coordination to project lead conferences, workshops and/or training sessions.
• Assist in the preparation of materials, reports and presentations, as needed.
Translation & interpretation
• Provide written translation of documents as needed.
Procurement
• Assist with the identification of, and negotiation with local vendors and other procurement related-tasks, as needed.
• Assist with office procurement including vendor verifications, and quote collection.


Qualifications Requises

• Bachelors level degree required.
• 4-6 years of experience in administrative and/or procurement preferred.
• Experience working with international NGOs or donors, such as USAID is preferable.
• Experience using the Internet, Microsoft Excel and/or accounting software.
• Demonstrated initiative and self-motivation in handling all assigned tasks with minimal supervision.
• English fluency is required.
