Introduction

J/P Haitian Relief Organization (J/P HRO) evolved as an organization since its inception in January 2010, transitioning from an emergency to a development context. Hence, the need for J/P HRO’s structure to adapt accordingly in order to support new monitoring and reporting needs, as well as efficiency imperatives. J/P HRO is seeking for: One (1) Human Resources Administrative Assistant based in its office in Port-au-Prince, Haiti.


Fonctions

Description:
The Human Resources Assistant is responsible for carrying out several tasks and assisting with the day-to-day efficient operation of the HR department. He/she will assume all administrative and secretarial functions, he/she will helps with the implementation of services, policies, and programs through HR staff; reports to the HR Director and assists the department’s managers with HR issues.
Responsibilities and Duties:
• Support in the preparation of documents for recruitment;
• Collect approved New Hire Request and relevant documentation as per the Recruitment and Selection policy from Hiring Managers;
• Contract Management and elaboration for National Staff;
• Send reminder to all Managers for Performance evaluation of National Staff;
• Conduct Reference Checks when requested when needed/requested;
• Co-ordinate interview schedules;
• Handle Badge preparation with appropriate party when requested;
• Facilitate the onboarding process for New Hires;
• Liaise with new hires on on-boarding requirements;
• Create files for new employees;
• Facilitate the Introduction of new staff;
• Coordinate/Handle New Hire Orientation;
• Arrange field visit with new employees when required;
• Elaborate Tests for recruitment process with Managers;
• Communicate list of all required documents for onboarding to candidates;
• Facilitate new staff introduction (Tour of J/P Office);
• Writing, drafting contracts, correspondences (DGI, INASSA, New Employee, Promotion, Offer letters, etc.);
• Create and updating employees records on the excel Staff database and on the HR software
• Update of all absences and leaves database for National Staff;
• Prepare Severance Pay calculation for Local Staff under the review of the HR Officer;
• General filing for HR department;
• Acts as HR Help Desk -Receiving Requests from other departments and ensuring distribution to appropriate HR Staff
• Follow-up with all departments on issue related to contract management;
• Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluation, etc.);
• Handle the HR Storage / Office supplies;
• Act as Focal point on information sharing on Local Staff with Managers/ Supervisors;
• Coordinate all insurance claims from Employees and all transmissions to Bureau Regional de L’Ouest (BRO) for all termination/ resignation matters;
• Coordinate HR projects (meeting, training, surveys, etc.);
• Assist in payroll preparation by providing relevant data (absences, leaves, etc.);
• Other duties as assigned;


Qualifications Requises

• Bilingual secretarial diploma and/or Business Administration degree
• 1-3 years of relevant experience in administration and/or Human Resources
• Knowledge of Haitian Labor Law a plus
