Introduction
The United Methodist Committee on Relief (UMCOR) is a United States based not-for-profit organization which is registered as a non-governmental organization (NGO). UMCOR has a long operational history in Haiti. Across all its programming (livelihoods; water, sanitation and hygiene; and shelter and reconstruction), UMCOR Haiti supports community engagement. This involves extensive community-based consultation and participation as well as close coordination among project partners including the Government of Haiti (GoH) and donor partners. The overarching objective of UMCOR Haiti’s efforts is to support the Government of Haiti (GoH) in implementing sustainable post-earthquake reconstruction and development. The UMCOR Haiti Strategy which covers the period 2013-2017 takes into account Haiti’s development challenges pre-earthquake yet focuses on reconstruction and projects adequate for reconstruction given the changes in context, content, and focus of the Government of Haiti’s (GoH) “Build Back Better” agenda.
Fonctions
Under the direction of the Finance Director / Senior Finance Officer, The Office boy will be responsible for documentation and preparing monthly progress report based on the assigned tasks. The monthly report template will be prepared by the FD / SFO. The monthly reports will include updates for each of the assigned activities needs identified and reported directly to the Finance Director /Senior Finance Officer.
Responsibilities and duties are, but not limited to, the following:
• Submitting vendors invoice to appropriate sectors or department for follow up.
• Monitor accounts to ensure payments are update / Prepare tracking sheet for payment.
• Dealing with queries or requests from the vendors and bidders.
• Collecting and distributing couriers from or to Po. Box.
• Helping the FD / SFO in performing their duties.
• Office Boy needs to deliver records mail, check, official letters to various NGO’s Government Offices, Banks, under the direct supervision of Finance Director / Senior Finance Officer.
• Office Boy/Messenger will ensure all documents, and records are updated and recorded well in the logs sheets, and timely receiving and delivering the various, documents, check, and letter are efficiently done.
• Office Boy/Messenger will be responsible also visiting various banks, vendor shops, contracting firms for taking and receiving documents
• Office Boy/Messenger should have good knowledge of Port-Au-Prince and around areas
• Office Boy/Messenger should possess valid driving license for Motor- Cycle and Car both (Class A& B).
• Office Boy/Messenger will be responsible for checking, recording P.O.Box, and other vendor Box with UMCOR facilities and outside.
• Office Boy/Messenger will be responsible to keep confidentiality of all contents of letters, checks and other mail handling in very professional manner.
• Office Boy/Messenger will be responsible for timely submission of monthly Logging Report, and documentation in direct supervision of Finance Director / Senior Finance Officer.
• Office Boy/Messenger will be required to work with flexible hours, as well be courteous, and with public relation skills.
• Office Boy/Messenger will closely coordinate with Finance/Procurement team for all deliverables
• Office Boy/Messenger will be required for English, Creole, and French language skills.
• Any other duties required are assigned.
Qualifications Requises
• Minimum of High School Diploma.
• Background and proven experience working with NGO’s for at least a Minimum of2 - 3 years experiences will be appreciated.
• Technical interview, Verification of contact references.
• Time management and ability to prioritize multiple tasks.
• Able to work effectively in a diverse team environment.
• Able to effectively promote UMCOR mission values, and objectives.
• Great interpersonal skills and flexibility in working hours in field and PauP level
• Good Understanding / Fluency in English and French.
• Computer skills (Outlook - Word - Excel – PowerPoint) will be appreciated.
• Demonstrated autonomy and ability to organize work and manage priorities.
• Availability to travel to Les Cayes at any moment
