Introduction
The Senior Administrative Assistant performs administrative duties for the senior management team and assists with the management of the organization’s human resources. Sensitivity to confidential matters is required.
Fonctions
Responsibilities:
● Perform administrative and office support activities for senior management team
● Manage calls and correspondence, and ensure that responses to communication are prompt and appropriate
● Receive and direct visitors/communication, and promote quality customer relations
● Support senior management team in organizing calendars and travel, making meeting and event arrangements (trainings, workshops, visits, exchange activities, etc.) and ensuring that all matters related to logistics are covered in collaboration with coordinator and appropriate staff members
● Assist senior management team in the preparation of reports, proposals and institutional documents
● Lead filing and information entry
● Assist in human resource activities. These activities may include - but are not limited to:
-scheduling interviews
-scanning resumes
-support in the evaluation of candidates to ensure they meet Summits’ hiring standards
-assisting with planning new employee orientations
-writing staff management correspondence (offer letters, end of contract letters, etc.)
-compiling materials and maintaining employee database records
● Perform any other tasks within his competence as may be required.
Qualifications Requises
Qualifications:
● Hold an Administrative Assistant degree from a recognized institution
● Have at least 10 years of experience at senior administrative positions and progressively coordinating and managing activities and staff -in the education sector preferred
● High flexibility and ability to work efficiently in stress and complex situations
● Ability to work alone and as part of a team
● Ability to transfer competencies and mentor junior team members
● Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, outside partners
● Excellent knowledge of the MENFP and its organization both at the central and regional level
● Extensive software skills, Internet research abilities and strong communication skills are required
● Sensitivity to confidential matters is required
