Introduction

CCO’s PURPOSE: The CCO is a consortium of NGOs operating in the sectors of humanitarian aid and development in Haiti. The CCOs objectives include defending the application of humanitarian principles at any time, facilitating the development of strategies and methodologies that take into account humanitarian and development needs and increase the resilience of the most vulnerable Haitian people.
The CCO aims to promote a coherent voice of NGOs in order to influence the practice of political actors and reinforce a favorable environment for aid and development. It aims to facilitate coordination of members and key stakeholders, facilitate the sharing of information, and to lead the development of a common position to influence policies implemented.
POSITION PURPOSE: The purpose of this position is to provide administrative and logistical support to the CCO, the Steering Committee and the CCO Representative, ensuring a smooth and efficient functioning of the CCO, and ensuring the CCO has all necessary information to conduct its activities and achieve its objectives.


Fonctions

JOB RESPONSIBILITIES:
Administration Support: All administrative functions of the CCO are executed in a timely, accurate, and professional manner so that members have up to date and complete information.
This includes but is not limited to:
• Preparing invitations and communications to members and Steering Committee about upcoming meetings.
• Taking minutes at CCO meetings as requested.
• Dissemination of minutes from CCO meetings and meetings attended by CCO.
• Support the compilation of data and information for reports.
• Preparing required paperwork for processing financial transactions.
• Translation of documents.

Communications and Event Planning: CCO events are external communications are well-organized and professional.
This includes but is not limited to:
• Develop the layout of CCO communications materials including the website, press releases, briefing notes, newsletters.
• Upload relevant documents and information to the CCO website.
• Manage membership to the CCO website.
• Organize CCO sponsored events including securing the location, food, equipment, speakers, and participants.
• Manage participant lists at CCO meetings and events and member database


Qualifications Requises

REQUIREMENTS FOR THE POSITION
Skills
• Excellent knowledge of Word, Excel, Powerpoint, Google Docs/Drive, email; knowledge of managing websites a plus.
• Fluent in French, working knowledge of English, Creole a plus.
• Ability to interact professionally and comfortably with people who are in a range of positions and from a range of cultures.

Knowledge
• Basic understanding of humanitarian and development sectors not required but a plus.
• Understanding of all logistical and administrative requirements for organizing meetings and events.
• Document management systems.

Behaviors
• Must be able to interact in a friendly and professional manner at all times.
• Takes initiative to identify tasks that need to be done and able to work independently with direction and guidance.
• Contributes suggestions for improving the administration and communication systems of the CCO.
