Executive Officer managing the front office of the embassy. Responsibility for digital diplomacy, IT support, Chevening Scholarships and administrative support of the Embassy’s bilateral project scheme .
Fonctions
Roles and responsibilities:
Executive Officer tasks (40%)
Day to day running of the front office of the Embassy:
Including making appointments, organising official entertainment and transport for Charge and official visitors
Managing the Embassy’s official communication with GoH institutions, including the Ministry of Foreign Affairs, other diplomatic missions and customs authorities. Drafting of letters and official documents into French as necessary
Arrange visit programmes for official travel of Charge and official visitors
In the absence of the Chargé, representing the Embassy at official events
Digital and Press tasks (25%)
Monitoring the Haitian media for political and economic developments, ensuring that items of interest are flagged up to Charge and HMA. Outreach to Haitian media outlets;
Back up on updating Embassy’s social media platforms;
Corporate Services Liaison tasks (20%)
Day to day management of the Embassy’s financial accounts, liaising with colleagues in Santo Domingo
Support for Charge on corporate service tasks not administered by colleagues in Santo Domingo;
Liaison with Embassy of Canada on practical arrangements of hosting agreement;
Projects and Scholarships Officer (15%)
Strategic administrative support to the various project funds run by the Embassy, including keeping the funding returns to London up to date and ensuring that all projects are visited and progress reports completed in a timely manner
Administrative support to the Embassy Chevening Scholarship programme, liaising with the Chevening Secretariat in London on practical arrangements for the annual scholarship recruitment process;
Assisting Charge on the establishment of a UK Alumni Group;
Qualifications Requises
Flexible and adaptable – we need a team player able to work with a range of contacts and colleagues at all levels
A self-starter, able to work with limited supervision
Strong analytical and organisational skills. Attention to detail is critical;
Good interpersonal and communication skills – we need someone who is decisive, resilient under pressure and able to deliver to deadlines;
A willingness to travel occasionally and work additional hours if required
Ability to work as a team player in a fast moving team
High School diploma, University degree preferred;
Experience in an office environment
Fluency in English, French and Kreol, oral and written
Working knowledge of MS Windows and Microsoft Office

Full time employment (40 hours per week) with a competitive remuneration package, including health and pension benefits, a leave entitlement and the chance to participate in a tailor made learning and development package, in Haiti, the region and London. Specific training and mentoring will be provided to the successful candidate. Salary will start from 1,065,302 HTG yearly, depending on qualifications and experience.
