Introduction

Good Neighbors International is a humanitarian non-governmental organization, whose mission is to improve the lives of others especially those of children through education, community development, health services, sanitation, and disaster relief projects.
Good Neighbors was granted General Consultative Status with the UN ECOSOC in 1996 and 2007. Good Neighbors was acknowledged for its contribution and was granted the ‘MDGs (Millennium Development Goals) award by the United Nations.
Good Neighbors opened its field office in Haiti on July 2010, in response to the devastated earthquake on January of the same year. Good Neighbors launched emergency relief aid as post-earthquake responses and served as channel between donors and the affected people in the community after earthquake. Furthermore Good Neighbors involved in rebuild the most affected communities and accomplished successful fruitions through various projects for example emergency relief, medical service, sanitation, income generation, child sponsorship, construction of shelters and reconstruction of several schools.

In order to continue to implement its programs in Haiti, Good Neighbors is currently looking for an Administrative Assistant for the operation Head Office. The Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient of the office operation, supporting managers and employees through a variety of tasks related to administration procedures including communication via phone, Skype and email and ensure that all administrative duties are completed accurately and delivered with high quality in a timely manner.


Fonctions

• Create, format and proofread a wide variety of documentation including reports, correspondence, memos, statistical charts, forms etc.
• Purchase office supplies and assure communication and good relationship with vendors and subcontractors.
• Maintain office inventory and supplies and ensure that low supplies are ordered on time
• Prepare payment request to contractors and vendors by creating liaison with Finance departments
• Perform data entry tasks and provide informational support to Good Neighbors’ staff
• Ensure quick response to routine inquiries
• Oversee and evaluate the work of the supporting staff
• Maintain office filing system including paper files/file cabinets, shared electronic files.
• Manage office consumables including office supplies, postage system, kitchen supplies, and copier supplies and suggest improvements to implement changes as needed etc.
• Produce and distribute internal and external correspondence memos, letters and other communication


Qualifications Requises

• Bachelor’s Degree in Management or related field or equivalent
• Good knowledge of the Haitian laws
• Minimum 2 years of administration experience (NGO preferred)
• Knowledge of office management systems and procedures
• Excellent time management skills and ability to multi-task and prioritize work
• Excellent written and verbal communication skills
• Strong organizational and planning skills
• Skillful at reading, writing and understanding French and English.
• Professional working experiences in local or international NGO (preferred).
• Full computer literate (MS word, Excel, Power point)
• Good typing skill (more than 50 words per minute)
• Understand and apply applicable policies and procedures, laws, regulations, and rules
• Wants to grow professionally and personally
