Introduction
The Administration and Procurement Coordinator, under the direction and supervision of the Operations Officer and working closely with the Finance and Administrative Specialist, will assist in procurements of goods and services, and other administrative tasks for IFES-Haiti office.
Fonctions
Job Responsibilities:
• Provide administrative support to Finance and Administration Specialist.
• Assist with assembling supporting documents for Field Expense Reports’ vouchers.
• Obtain quotations for required goods and services in accordance with IFES’ policies and procedures.
• Coordinate local procurement processes such as evaluation of quotes, bid analysis and vendor selection per IFES procurement policies.
• Prepare documentation of purchase orders and service contracts to be executed in county or to be submitted to IFES-HQ.
• Coordinate with the Finance and Administrative Specialist to file and maintain records of procurements.
• Maintain a directory of purchase orders and service contracts, keeping track of their deliverables, end dates, and not-to-exceed amounts.
• Support the programs team with logistics for consultants and project events such as conferences, workshops, seminars, luncheons, and meetings.
• Scan, photocopy, fax, mail, and file documents.
• Maintain Office Inventory
• Develop and maintain a filling system
• Develop system to track employees accrued sick leave and vacation time
• Server as the administrative interface between IFES and in-kind grantees
• Perform other duties as assigned.
Qualifications Requises
• Degree in administration or accounting or equivalent with at least three years of relevant experience.
• Knowledge of basic accounting and administration
• Knowledgeable of USAID procurement procedures. Past experience working with a USAID funded project
• Knowledgeable of Word & Excel.
• Previous experience with an international NGO.
• Professional proficiency in English
