Introduction

The Sustaining Health Outcomes through the Private Sector (SHOPS) Plus project is Abt’s follow-on project to USAID’s flagship initiative in private sector health. In Haiti, SHOPS Plus will scale-up the availability and distribution of key commodities in both public and private sectors for: family planning, maternal and child health (MCH), HIV and AIDS prevention, nutrition and water treatment. SHOPS Plus Haiti will promote the utilization of these products through branded and generic communications strategies, trainings and workshops.


Fonctions

SHOPS Plus is seeking an Administrative Assistant for the multi-sectoral SHOPS Plus Haiti program. The Administrative Assistant will assist in program financial management, program logistics, and office management. Responsibilities include the following:
Specific responsibilities include the following:

• Manage vendor relationships; complete and maintain financial documentations
• Make travel arrangements
• Organize conferences and meetings
• Provide secretarial duties; secure office supplies; arrange office maintenance
• Work with the Finance and Administrative (F&A) Manager to:
o Follow financial procedures for expenses, such as Check Requests, Purchase Orders, Justification Memos, and ensures the necessary approvals for each expense
o Administer and track the project Petty Cash account, pay and monitor advances for trips and Expense Reports, and monthly payments for project utilities and all vendors and suppliers
o Ensure that periodic inventory of the fixed assets (property) of the company is conducted


Qualifications Requises

• Bachelor's degree required.
• 2 years of relevant work experience
• Accounting and financial management experience a plus
• Experience with USAID implementing partners a plus.
• Ability to manage complex activities and complete tasks on short notice.
• Computer skills in accounting (Quicken and Oracle), MS Windows, Excel, Word.
• Proven experience in Haiti
• Fluency in written and spoken French is required. Fluency in written and spoken English and Haitian Creole is preferred.
