Introduction

IDG is seeking an experienced Office Manager with expertise in managing and implementing International Donor Projects for a long-term assignment to support a USAID funded activity in Haiti over a two year period. The Office Manager will administrative and operational support for activities implemented through the project.


Fonctions

Duties/ Responsibilities:
• Provide support for training events and conferences
• Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and records and transcribe minutes of meetings
• Act as point of contact for staff members, vendors and others; work to resolve any issues or problems that may arise
• Attend internal and external meetings as requested, taking notes, writing meeting notes and disseminating to interested parties
• Assist with knowledge management of program notes, research, and documents for the use of project staff
• Arrange for the logistics for the program including preparing and facilitating transportation and other arrangements for project staff
• Prepare work stations for in-coming project staff
• Manage accommodations for consultants as needed
• Support financial record keeping and reporting
• Provide regular updates to the home office
• Provide other administrative assistance as required, including: typing of documents and E-mails; copying documents; preparing and filing documents; preparing and sending fax messages etc.
• Perform other duties as assigned by the project manager and home office.


Qualifications Requises

Qualifications:
• A Bachelor’s degree in relative field
• A minimum of 3-5 years of relevant work experience
• Office management experience with USAID and/or other donor client projects
• Experience in accounting and financial management a plus
• Effective planning, management, and leadership skills
• Strong problem solving and decision making skills
• Ability to work as a part of a team when required
• Proficiency in Microsoft Office
• Regional experience working in Haiti preferred;
• Strong communications, analytical, writing, and interpersonal skills; excellent report writing abilities required;
• Professional proficiency in written and spoken English (required) and French (preferred).
