Introduction
Established in 1971, Futures Group specializes in the design and implementation of public health and social programs for developing countries. We have assisted governmental and non-governmental agencies, foundations, and the private sector by designing, implementing and evaluating programs in HIV, sexual and reproductive health, population and family planning, maternal and child health, infectious diseases, and gender. Futures Group has deep expertise in policy and advocacy, research and strategic information, health markets and private sector engagement, modeling and economic analysis, patient monitoring and management, Health Management Information Systems, strategic consulting, and program management.
Futures Group is seeking a Project Assistant to the Chief of Party for a USAID-funded Support of Government of Haiti Strategic Information Systems Program. He or she will assist the Chief of Party by handling a wide variety of activities to ensure the effective and efficient operation of the project office. Duties are highly confidential and require comprehensive knowledge of the organization's operations, policies and procedures. This role requires discretion, judgment, tact, poise and the ability to communicate professionally with other projects and external constituents. A high level of organizational skill and attention to detail are key attributes of the Project Assistant role.
Fonctions
Project Assistant support to the Chief of Party to include:
Coordinating scheduling, workflow, communications and day-to-day operational and administrative issues and including coordination of meetings across multiple time zones, offices, and partners.
Managing the Chief of Party’s calendar, meetings, travel, and interfacing with external constituents.
Assisting with travel arrangements.
Developing and preparing presentations as required.
Managing the development of Project team meeting agendas, preparing meeting materials, creating and distributing minutes and tracking follow-up activities.
Managing special programs and complex projects of significance as designated by the Chief of Party.
Answering correspondence and inquiries under own initiative, both internally and externally.
Qualifications Requises
Excellent time management and organizational skills.
Strong oral and written communications skills.
Experience in a U.S. government contracting services environment.
Knowledge of the international development community, including USAID and MSPP partners, a plus.
Experience with working with Haitian ministries and knowledge of required protocol.
Ability to quickly build rapport with others and work as part of a team.
Exceptional attention to detail.
High tolerance for stress and ability to handle changing schedules and priorities while meeting deadlines on short notice.
Demonstrated excellence with MS Office and other office automation tools.
Experience in SharePoint or other document management systems and proven experience to learn quickly new tools and technologies - an advantage.
Strong business acumen.
Sound, professional judgment and excellent decision making skills.
Conditions particulières
Bachelor's degree.
Seven years related experience, with a minimum of three years Project Assistant or Executive Assistant experience
Bilingual French and English reading and writing skills.
Procurement experience and financial training a plus.
