Introduction

The Action of Churches Together Haiti Forum is made up of twelve (12) international and two (2) local ACT Alliance member non-governmental organizations present in Haiti. The ACT Haiti Forum is an informal coordination group with no legal representation in Haiti. Through Memorandums of Understanding (MoUs) and voluntary cost-sharing, members agree to work together and a Chair and Vice-Chair are elected from and by the existing members on an annual basis, to facilitate meetings and represent the group as required. The Secretariat of the ACT Alliance International is in Geneva. The Act Forum Haiti has a relationship with the ACT Forum in the Dominican Republic and with the ACT Latin America and Caribbean Regional Forum.

Meetings of the ACT Haiti Forum are held monthly, usually in the French language but communication in English is equally important. Annual meetings are also held, normally in the spring. The Haiti Forum has an annual work plan with joint activities carried out by members, some joint projects supported by multiple members and working groups on specific issues or advocacy initiatives. An annual narrative report must be submitted to the ACT Secretariat in Geneva by January each year.

The members are seeking a Coordinator to be a focal point for communication and information sharing between the members, during and in between meetings; represent the ACT Haiti Forum in relevant external meetings in Port-au-Prince (OCHA humanitarian forums, UN clusters etc) and, if necessary, in regional / international ACT Alliance meetings; play a key role in relation to the Forum’s emergency preparedness and response, (EPR) plan, and ensure compliance with ACT policies and procedures .


Fonctions

The Coordinator of the ACT Haiti Forum shall be responsible to the ACT Forum in Haiti through UMCOR and Chair/co-Chair, for the execution of his/her duties which shall include the following:

KEY DUTIES:

The Coordinator will:

1) In consultation with the ACT Forum Chair, prepare monthly Forum meetings, including circulate the agenda at least 3 days ahead of the meeting; take minutes during meetings and ensure a wide circulation of the minutes well ahead of the next meeting.

2) Help facilitate meetings to develop annual strategy and workplans, help write and amend drafts and circulate to members for comment and feedback.


3) Ensure members MoUs are up to date, any financial pledges are received, and receipts provided

4) Ensure that the members of the Forum undertake a self-assessment (minimum yearly) of the Forum’s functioning and accomplishments in view of existing MoUs and annual work plans, with a view to develop / revise the Forum MoU and define/update key strategic objectives of the Forum.

5) Liaise with ACT forum members in between meetings and identify opportunities for active engagement all members, promote stronger synergies, learning and information/resource sharing across the members and, when relevant, their partners, on thematic issues and methodologies, in particular where strong expertise exists.

6) Ensure compliance with ACT policies and procedures; share new ACT tools/policies adopted by ACT Geneva and to the greatest extent possible, help organize introductions/ trainings related to these new tools / policies.

7) Draft monthly communications /bulletins (in English) on developments in the ACT Haiti Forum and forward to ACT Geneva

8) Prepare a monthly work plan and a corresponding update on the Coordinator’s activities, to be shared with all members of the Forum

9) Participate in and take minutes at 2-4 key external meetings per month (to be included in the work plan) on behalf of the ACT Forum
10) Lend support to joint ACT projects / programmes, with a particular aim to spread information about the ACT Alliance and its activities vis-à-vis the media and external actors as directed
11) Be a focal point for joint ACT events / workshops etc. and participate in / support the organization of these events
12) Maintain the filing system for ACT Forum activity reports, meeting minutes and key documents including signed MoUs, annual work plans for the Forum and annual reports of the ACT Forum Haiti to ACT Geneva.
13) Support ACT members in the implementation of the Forum Emergency Preparedness and Response Plan in accordance with the description of roles and responsibilities (“Forum Coordination”) as described in the EPRP (version dated April 2014)
14) Maintain an up-to-date contact list of ACT Haiti Forum members
15) Support the advocacy work of the Forum, including drafting short statements and communication papers as directed.
16) Support the development of synergies with the Act Forum of the Dominican Republic and with the Latin American and the Caribbean ACT Regional Forums.
17) Any other reasonable task which may be assigned by the Chair, Vice Chair or employing agency on behalf of the Forum.


Qualifications Requises

University degree

Have coordinated multi-agency groups previously a minimum of 3 years

Be organized and attentive to workplanning and deadlines.
Have strong computer skills especially in wordprocessing and editing software
