Introduction

J/P Haitian Relief Organization (J/P HRO) evolved as an organization since its inception in January 2010, transitioning from an emergency to a development context. Hence, the need for J/P HRO’s structure to adapt accordingly in order to support new monitoring and reporting needs, as well as efficiency imperatives. J/P HRO is seeking for 1 (One) Human Resources Assistant based in Delmas.

Summary:

The Human Resources Assistant is responsible for carrying out several tasks in the HR Department. S/He will coordinate all important functions such as maintaining employee records and administrative support services to the HR Team. S/He is responsible will support Human Resources for carrying out various all tasks and assisting with the day-to-day efficient operation of the HR department.


Fonctions

Under the supervision of the Human Resources Manager the responsibilities are as followed:

Staff Recruitment and Onboarding

• Assist as needed the HR Coordinator in recruitment follow-up with Hiring Mangers;
• Make posting of vacant job on relevant media as per new hire request form received in the Department
• Conduct reference checks for pre-selected candidates;
• Liaise with new hires on on-boarding requirements;
• Ensure follow-up to create and records new employees;
• Facilitate the Introduction of new staff;
• Provide information to the HR Coordinator & HR Manager about end-of probation and contracts monitoring as per the HR Database and/or Turbo.
• Shortlist and process resumes from applications and internal database.
• Conduct phone screening of all shortlisted candidates and advise hiring Manager of results with Human Resources Recommendation.

Administration and Data Management
• Collect attendance sheets from the department for the preparation of the monthly payroll;
• Drafting HR documents (such as staff lists- basic reports on correspondences, memorandum and others) and execute other secretarial duties.
• Maintain Employees’ files by making sure the filing is done on a daily basis to avoid documents misplaced and accuracy of staff information.
• Fill out information into the HR database and HR Management system up as per request for accuracy of the staffing information;
• Ensure follow-up with related staff for all missing documents (Contracts, job description, personnel information forms, photos, certificates, diplomas, certificate of good conduct, all J/P forms, etc...)
• Ensure follow-up for HR documents signature and records;
• Maintain and manage storage of the HR Department materials;
• Welcome the HR visitors and receive staff request;
• Support the Human Resources Manager upon request with the day-to-day efficient operation;
• Assisting in any other duties as assigned.


Qualifications Requises

• Bachelor Degree preferable;
• Bilingual Secretarial diploma;
• Two (2) to Three (3) years of relevant experience in Human Resources field.

• Fluency Advance level in English
• Excellent computer skills (MS Office), Internet

• Good understanding of administrative and technical aspects of HR, including confidentiality, HR systems, procedures, and recruitment
