Introduction

Background & Objective

The Inventory Specialist shall oversee all inventory-related activities to AVANSE Program in Haiti office. S/he shall ensure that the outlined inventory policies and procedures are implemented. The Inventory Specialist shall provide and maintain complete and accurate data for all inventory files. S/he shall provide support in other areas as necessary and maintain a positive working relationship all staff. The Inventory Specialist will report to the Administration Manager.


Fonctions

The Inventory Specialist shall perform the following functions, but not limited to:

• Custody, care, and safekeeping of all property under control of the AVANSE project;
• Keep all required property records for items received, disposed, assigned to staff or delivered to partners;
• Reconciliation the physical inventory with the inventory list and records.
• Assign the inventory # for the items procured/received and updates the inventory records.
• Complete in English all required inventory reports for the client and for internal use;
• Document inventory shortages or damages, and forward of such reports for action to the OM or the SOM, as appropriate;
• Make spot checks of the inventory list and the items assigned to the staff.
• Make storage and warehousing plans as needed;
• Develop and implement the distribution plan for stored equipment;
• Plan the transportation of property between sites throughout Haiti;
• Work with Finance Department/Procurement Management team on the receiving of goods and inspection process;
• Serve as a point of contact for inventory-related questions during audits;
• Process documentation for inventory items transfers between contractors, and also between subcontractors and other government agencies (Final disposition);
• Carry out any other relevant duties requested by the Administration Manager and Senior Operations Manager.


Qualifications Requises

• Graduation from High School and certificate on technical administrative areas required.
• One year previous experience in Procurement or Logistic/Inventory, preferably with international donor-funded projects, such as USAID, UN agencies or NGO’s on relevant programs in Haiti.
• Knowledge of USAID regulations is a plus.
• Demonstrated initiative and self-motivation in handling all assigned tasks with minimal supervision.
• Knowledge of the Inventory process of Expendable and Non Expendable items.
• Experience on close out and inventory final disposition preferably with USAID funded project.
• Excellent verbal and written communication skills.
• Computer literate with e-mail, word processing and spreadsheet.
• French and Creole required; English proficiency strongly preferred.
