SME monitoring officer job description

The overall goal of this person will be to further expand Zafèn in close collaboration with the Zafen Manager and our partners in Haiti, in the diaspora and in the Worldwide Vincentian Family so that it becomes an operation that can identify and provide quality services to a vast range of credit-worthy enterprises and sustainable projects.

This includes the following responsibilities:
- Organize and supervise the Fonkoze Zafèn Team and workflow in order for them to identify, describe and follow-up on serious SME’s with a high potential for economic and/or social impact in their community.

- Ensure quality communication with users, with other Fonkoze departments and provide them with the information they need to continue to support Zafèn.

- Supervise the management of the website and ensure that it delivers quality information to our users in an effective and agreeable way, including regular and consistent updates on funded SME’s in the online system

- Supervise the organization of Zafèn’s back office to ensure transparent and rigorous management of the Zafèn funds;

- Review client requests for funding and assign them to Business Analysts for profile development and due diligence process;

- Take an active role in the identification of potential partnerships with organizations that can provide good candidates (SMEs and social enterprises) to be featured on Zafen.org, or funding for Zafèn or Zafèn projects.

- Identify opportunities to improve existing conditions and processes and implement those improvements after approval of the Fonkoze director and/or Strategic Advisory Committee.

- Work closely with Selection Committee and the Zafen Director to ensure efficiency of the Fonkoze Zafèn team;

- Provide regular status reporting to all interested parties, including Selection Committee, Strategic Advisory Committee and Fonkoze Zafèn team,;

- Capture clients’ progress with the Business Analyst team and coordinate efforts to give them further support;

- Coordinate and lead meetings with various teams to resolve issues and manage operations;

- Keep track of meeting minutes and proactively follow-up on action items;

- Work with the Program Director and Fonkoze finance department for quarterly management report and financial reporting;

- Approve team field expenses using budget allocation;

- Visit clients in the different regions throughout Haiti, identify business development needs to be addressed thru training or mentoring;
- Do what is possible to ensure the success of the team operations in Haiti and of Zafen.org;

- Manage expenditures on donor budgets transparently and efficiently, and ensure quality reporting to donors.

Qualifications and Competencies

The SME monitoring officer shall have the following qualifications:
1. A master’s degree in business administration or related field;
2. At least 3 years of professional experience including team management and supervision, and working with partners;
3. Outstanding communication and organization skills;
4. Excellent professional business report writing skills in English;
5. Exceptional skills in business analysis (business plan review, due diligence review, ROI analysis, etc.)
6. Languages: English, French and Creole
