Introduction

J/P Haitian Relief Organization (J/P HRO) evolved as an organization since its inception in January 2010, transitioning from an emergency to a development context. Hence, the need for J/P HRO’s structure to adapt accordingly in order to support new monitoring and reporting needs, as well as efficiency imperatives. J/P HRO is seeking for One (1) Human Resources Assistant based in Delmas.
Summary:

The Human Resources Assistant performs a variety of administrative and secretarial duties relating to personnel functions and programs including in the areas of Recruitment, Employee Relations and Human Resources Administration. S/He will support the Human Resources department in the carrying out of specific Human Resources processes and assist with the daily operations of the HR department. The Human Resources Assistant provides administrative and secretarial support to the Human Resources Manager and the Human Resources department as a whole. S/He is responsible for maintaining employee records; prepares various correspondences and memoranda; coordinates activities related to area of assignment and provides information and assistance to J/P HRO employees on Human Resources activities, processes, policies, and procedures.


Fonctions

Responsibilities:

The responsibilities are as follow:
 Perform a wide variety of clerical and office support duties in support of J/P HRO’s Human Resources Department
 Support the Human Resources Manager with the day-to-day operations;
 Draft and type letters, memoranda, and other correspondences related to assigned Human Resources programs and activities
 Provide customer service, both in-person and by telephone;
 Answer questions from employees regarding human resources issues, rules, and regulations relating to Human Resources processes
 Maintain personnel records ensuring timely and accurate records;
 Assisting the HR Coordinator with the planning and coordination of recruitment including the preparation and posting of job advertisements; shortlisting of applicants and other related recruitment activities
 Maintain calendar of activities, meetings, and various events;
 Process mail including receiving, sorting, time stamping, logging, and distributing incoming and outgoing correspondences and packages;


Qualifications Requises

Qualifications and Experience:

 Bachelor Degree preferable in Administration or equivalent
 Bilingual Secretarial diploma
 At least 3 years of relevant experience in Human Resources

Required Skills:
• Fluency in French and Creole – Strong skills in English
• Excellent computer skills (MS Office), Internet
• Strong communication skills (written and oral)
• Excellent decision-making skills
• Organizational skills & Record Management
• Cross-cultural sensitivity and ability to communicate effectively with people from different walks of life
• Good understanding of administrative and technical aspects of HR, including confidentiality, HR systems, procedures, and recruitment
• Detail oriented
• Flexibility
