J/P Haitian Relief Organization (J/P HRO) evolved as an organization since its inception in January 2010, transitioning from an emergency to a development context. Hence, the need for J/P HRO’s structure to adapt accordingly in order to support new monitoring and reporting needs, as well as efficiency imperatives. J/P HRO is seeking for One (1) Community Development Support Officer based in Delmas.
The Support Officer provides day-to-day assistance to each of the Community Development projects and works closely with Community, Education and Livelihoods Project Managers to help projects run smoothly. S/he is in charge of meeting all logistical needs of the Community Development programs and in doing so must act as a liaison between the various CD departments and Program Support. S/he must perform routine administrative duties related to monitoring the flow of materials and meeting logistical needs. S/he will also head communications efforts with beneficiaries through producing promotional print materials for the various CD projects and campaigns. 40% of his/her time will be solely dedicated to assisting in research for potential grants, partners, best practices, and trainings for staff. S/he is responsible for research to keep Community Development programs on the cusp of cutting edge information beneficial to the department.
Fonctions
Responsibilities:
• Work closely with Program Support Department staff particularly the Procurement and Finance Departments and strictly abide by their protocol (filling purchase requests, obtaining all necessary signatures, following up with procurement and logistics).
• Coordinate the preparation of specific events happening in the department (inaugurations, school events, concerts, etc.).
• Keep all support documents updated and ensure that they are visible by all concerned parties as it pertains to the purchase and movement of goods.
• Implement and maintain filing system for hard copy documents where necessary. Monitor said system to ensure that it is always operational.
• Manage Petty Cash where such task has been assigned.
• Coordinate and monitor the flow of goods and materials for the program and plan for replenishment in line with needs. If necessary, propose/create and maintain internal tools to facilitate the logistics workflow within the program.
• Produce promotional, marketing and communications materials including but not limited to, flyers, manuals, T-shirts, quarterly newsletter and pamphlets.
• Develop new activities for Kay Kominote.
• Assist in research for potential grants, partners, best practices, trainings for staff; keep programs on the cusp of cutting edge information beneficial to the department in order to improve the quality of service offered by the department.
• Perform other duties as required by the line management.
Qualifications Requises
Qualifications and Experience
Experience in logistics/procurement/administrative procedures
Experience in managing warehouse and conducting inventory
Bachelor’s degree required
Excellent communication and interpersonal skills
Grant writing and research experience preferred
Skills:
• Proficiency with Internet, Excel, Microsoft Word, and other office applications
• Very good organizational skills and attention to detail and accuracy
• Strong planning and management skills
• Excellent problem-solving skills and able to work well under pressure
• English, French and Creole language skills (English or French required)
