Plan International, one of the world’s largest children’s NGOs, has been working in Haiti for over 39 years with children, youth and poor communities.
Plan Haiti is looking for suitable candidates for Administration Officer position based in the Country Office according to the specifications below:
• Petty cash management – is responsible to ensure the petty cash is always replenished with enough funds to face the country office purchases; petty cash should never be empty
• Travels – ensure hotel booking and air tickets for visitors, travelers; make arrangements with Logs Coordinator for airport pick up and drop off, manage day-to-day relationship with hotels and travel companies.


Fonctions

1. Travel arrangements, Front desk office and Petty cash Management are performed on timely and efficient manner
• Full time presence at front-desk office and responsible for visitors’ reception and guidance
• Day-to-day management of petty cash funds and ensure permanent availability of petty cash funds for office small expenditures
• Manage hotel booking for incoming visitors and travel arrangements for outgoing travelers, maintain good relationship with hotels and travel companies
• Make necessary airport pick-up and drop-off arrangements with Logistics for visitors and travelers
2. Existence of an effective mail management and records tracking system and management of front desk
• Reception, filing and timely dispatch or shipping of incoming and outgoing mails and official correspondences
• Act as point person for international shipping companies (DHL, UPS, etc.)
• Bills payment to suppliers and coordination with logistics for payments that require a displacement by a PLAN driver
• Help with drafting and/or translation of official documents (English to/from French).


Qualifications Requises

• University Degree in Business Administration or equivalent work experience
• At least 2 years of experience in the related field.
• Strong organisational, interpersonal, and communications skills.
• Flexibility, reliability and cultural sensitivity.
• Needs to have initiative and be able to work with minimal supervision
• Ability and willingness to under pressure
• Good computer and IT skills.
• Strong working knowledge of spoken and written French, English.
• Possess strong organizational skills
• Strong Team-building and motivational skills
• Ability to work in a multidisciplinary and multicultural environment
• Deliver according to tight deadlines
• High standards of integrity and transparency in all his/her actions
• Ability to solve problems.
