Introduction
The project ToTAL "Tout Timoun Ap Li," Technical Assistance to the” Ministère de l’Education Nationale et de la Formation Professionnelle (MENFP)” is an initiative funded by the US Agency for International Development (USAID) , Implemented by RTI International, in the form of applied research for the development of reading skills of Haitian students. Within the framework of its activities, the project wants to receive applications for an Executive Assistant
Fonctions
Responsible for all the logistic aspects for the project activities
In particular, lead the organization of logistics all meetings, workshops and training activities; meetings with stakeholders, reading program development workshops, training of trainer workshops, teacher trainer workshops, coach trainings
Develop workplan, budget and timeline for logistical activities.
Interact with MENFP, trainers and trainees to insure adequate planning of trainings
Assure communication and coordination between activities in the corridors and P-a-P
Coordinate the needs between financial manager, reading education team and monitoring and evaluation.
Assure travel, purchasing, materials, and supplies
Ensure that trainers have adequate locations and meals in Port-au-Prince and corridors.
Assure staff are involved in and kept current on the organization of logistics.
Write reports on the outcomes of activities (training sessions), including synthesis of notes, technical decisions and follow up communications.
Ensure that payment to vendors are done in due time
Ensure any follow-up with vendors to establish a good business relationship
Responsible to update the physical inventory of the office and materials in the field
Monitor cost, quality, and availability of supplies
Qualifications Requises
Secretarial and managerial training
Experience as executive assistant, and or logistician at least 5 years
Excellent Creole and French skills, good knowledge of English
Capacity to negotiate and deal with several emergency activities at the same time
Knowledge of Excel ,Word and Outlook
Must be willing to travel up to 60% of the time to assure logistics
