Introduction
J/P HRO is a non-profit organization dedicated to help lift the nation of Haiti out of the rubble and give the Haitian people a better life, is seeking experienced professionals for several exciting opportunities as part of its response to the 2010 Haiti earthquake.
The Facilities Manager is overseeing all maintenance activities. He/she will be responsible of ensuring that the sites assets are managed in a manner that sustains serviceability, provides staff with a safe and well maintained work environment. He/she will oversee the complete spectrum of Facilities Management services including facilities maintenance services, space optimization. He/she works closely with facilities personnel to supervise, organize, plan and direct repairs, maintenance, and general operations for J/P HRO sites.
Fonctions
Under the direct supervision of the Program Support Director / Deputy Program Support Director, the Facilities Manager is the first line of contact with all external utilities and general housekeeping. He/she is responsible of the day to day supervision of the Facilities Management, including general maintenance of the Sites and their contents, assisting in managing supplies of furniture and equipment, contacting and arranging maintenance and repair of services under contract and those not under contract.
The Facilities Manager is acting as the contact for emergency situations that affect the Office/Houses ability to function normally:
Supervising a team of maintenance, determining workload, delegating assignments, training, monitoring and reviewing work performance for quality, accuracy and completeness;
Supervising procurement and maintenance & upgrades of furniture, utilities, & signage for the overall facility;
Supervising facility usage, operations, equipment maintenance, etc.; preparing documents to put out tenders for contractors;
Investigating availability and suitability of options for new premises;
Managing and leading change to ensure minimum disruption to core activities;
Directing and planning essential central services such as maintenance, cleaning, waste disposal and recycling;
Ensuring the buildings meet health and safety requirements;
Planning best allocation and utilization of space and resources for new buildings, or re-organizing current premises;
Checking that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies;
Coordinating and leading one or more teams to cover various areas of responsibility;
Responding appropriately to emergencies or urgent issues as they arise;
Maintaining usage records & invoice clients accordingly;
Managing the day-to-day facility operations of the office environment. Implements processes to better manage the administration, planning and financial needs of the facility;
Managing performance of on-site facility management vendors and tracks vendor performance, agreements and contracts;
Managing space planning for the office environment;
Overseeing facility capital improvement work;
Establishing and maintaining program efficiencies inclusive of preventative maintenance schedules, organization and documentation;
Conducting regular walk through of the facility to assist visual maintenance;
Working hands-on with housekeeping, electrical, plumbing, heating, ventilating and air conditioning;
Arranging for general maintenance of office/house equipment, fixtures and fittings as necessary;
Qualifications Requises
• Strong Computer skills (Excel, PowerPoint, Word, Internet, QuickBooks a plus)
• Excellent verbal communication and writing skills
• Strong interpersonal skills
• Ability to manage multiple projects at once
• Exceptional management skills
• Strong leader with the ability to motivate and influence staff in a positive manner.
• Strong time management skills.
• Strong analytical and problem solving skills
• Must be available to respond to facilities emergencies outside of regular working hours for unique situations
EDUCATION and/or EXPERIENCE
• License or equivalent in Business Administration
• NGO and International Organization experience
• At least 5 years of experience in management in Haiti
LANGUAGE SKILLS
English, French and Creole.
