To provide operational and administrative supports to regional office by ensuring and delivering optimum efficiency in all areas.
Fonctions
Getting the regional Manager’s approval on documents, purchase orders, invoices general expenses.
Preparing PO, cash advance, expense claims and following up on payments.
Coordinating all travel within/outside the region
Preparing correspondence for the regional office
Preparing/Maintaining: reports as requested by regional manager
a. Vacation Report
b. Staff Absenteeism Report
c. Fuel purchase and vehicle mileage reports
d. Stock report
e. other reports as requested by the regional manager
Ensuring office petty cash is reconciled and subsequent report timely submitted for processing to Head Office
Assisting in Regional presentations
Liaising with the distribution team towards the efficient and timely dispatch and collections of goods to/from Region
Keeping records/minutes of Regional meetings
Ensuring regional office is neat, tidy and branded as Digicel Office
Ensuring Maintenance and service Records are Tracked and maintained for All Regional Fleet Vehicles
Ensure that all Regional Staff have sufficient quantity of uniform Items
Ensuring Maintenance schedule exists
Qualifications Requises
- Secretarial and Business Administration skills
- Good interpersonal skills
- Microsoft Office Proficient ( Excel, Word and Powerpoint)
- Effective Telephone manner ;
