Introduction

To provide administrative support to the Head of Support Services.


Fonctions

1- Provide administrative support including management of diary; drafting correspondence, drawing up programmes for the Head of Support Services and other delegates.
2- Organise meetings for the Head of Support Services and other Senior Managers.
3- Oversee travel and accommodation arrangements for the Head of Support Services and other Senior Managers, in liaison with the Welcome Services Officer.
4- Manage Head of Support Services mail in his/her absence – ensuring messages are referred or acted upon. Follow up on matters where possible.
5- Take minutes of departmental meetings.
6- Assist in monitoring standards of communication sent from the Head of Support Services Office and ensure that approved formats and style sheets are used.
7- Follow up on action items to be done by Support Services Coordinators.
8- Scan and copy documents from Head of Support Services and send to assigned people by e-mail.
9- Deliver letters and other communication for the Head of Support Services.
10- Responsible for all signing of various documents.
11- Maintain an up to date filing system and stakeholder contact list.
12- Liaise with other department.
13- Any other duties as assigned by Head of Support Services


Qualifications Requises

1- Professional Degree in Administration or its equivalent or any other relevant fields.
1- Minimum 3 years of Administration or other related experience.
2- Experience in working with International expatriates.
3- Previous experience with Support Services Units (Finance, HR, Administration, Logistic, ect.).


Conditions particulières

• Good Communication Skills, excellent computer skills (Word/Excel/Power point/Internet/E-mail), efficient and a demonstrated ability to establish good administration and filing systems, good ability to attend to details, planning, organizing and good public relations skills.
Fluently in English, Creole, French and basic spanish would be an asset.
