Introduction
WELTHUNGERHILFE, Haiti is currently looking for an Executive Assistant to be based in Pétion-Ville, Haiti.
Fonctions
The assistant to the Executive Director is to provide high professional administrative and organizational support to the Chief Executive Officer (CEO) in order to maximize efficient and effective time management and communication at WHH Haiti with internal and external parties, e.g. Board of Directors, Management Board, Department Heads, International staff, branches, and donors. The assistant to the CEO is further to manage and structure the ongoing and upcoming affairs of the CEO in case of his/her absence and to summarize and inform the CEO in a detailed way on his/her request. The assistant has access to sensitive information, therefore the highest level of confidentiality and discretion is essential.

MAIN RESPONSIBILITIES
• Works on the preparation of meetings, workshops and relevant events as assigned by the Management Board, departments, trainers, administrative department,
• Takes part in Management Board strategic meetings and ensures appropriate follow up on defined action points, including operational issues when relevant,
• Prepares regular reports on the implementation stages of decisions from management, in collaboration with responsible persons,
• Makes travel arrangements for management in collaboration with the relevant department,
• Ensures appropriate filing and management of documents in line with high confidentiality standards,
• Develops procedures to increase efficiency of recurrent projects,
• Involves her/himself in discussions with the Management Board and proposes solutions on specific issues,
• Analyzes key information from reports and prepares executive summaries for management,
• Screens letters received by management and discusses relevant ones for action.
Qualifications Requises
IDEAL PROFILE:
• B.A. degree in related field or equivalent work experience,
• Knowledge of French, English. Ability to translate is a plus; Minimum knowledge of Spanish
• Excellent knowledge of spelling, punctuation, grammar; mathematic skills and general office management skills,
• Minimum of 1 year experience as assistant to an executive level position,
• Work experience in an international setting required, preferably in developing countries,
• Proven experience in preparing and managing a budget,
• Experience in grant management and donor relations,
• Exposure to financial services industry desirable,
• General computer literacy and proficiency in Microsoft Office (Excel, Word, PowerPoint),
• Outstanding time management and organizational skills,
• Keen attention to detail with ability to track multiple projects at one time,
• Ability to work with a minimum of supervision,
• Excellent judgment and diplomacy,
• Outstanding interpersonal and communication skills,
• Analytical skills,
• Ability to travel in support of board meetings and other executive functions,
• Flexibility in terms of work hours (ability to adjust day schedules to accommodate needs of the Executive office), Reliability,
