Job Summary
This position is to help coordinate, facilitate, and manage daily/weekly/monthly tasks, trainings, communication, reporting, and information flow of the Health and Nutrition teams. The Program Assistant is responsible for providing coordinated communications, data entry, database management, administrative and pharmacy/ logistical support to the Health and Nutrition sectors.
The Program Assistant reports directly to the Health and Nutrition Manager.
Fonctions
Duties and Responsibilities
• Coordinate logistics for meetings and trainings, including, but not limited to staff meetings, partner meetings and other program-related events.
• Serve as the primary contact for communications related to program meetings and Sector-related training, ensure the preparation of invitations, confirmations, participant lists, training materials, pro forma, room reservations and catering, and other related support, as required.
• Collate all programs related reports and maintain database of activities- completed/planned and beneficiary numbers by program location including data entry
• Coordinate with CO H/N assistant and transmit weekly surveillance data and monthly data and report, report daily in case of communicable disease reported by clinics to the Health and nutrition manager
• Manage and organize the cool chain at PAP office= follow up of fridge temperature daily/preparation of vaccine and vaccine carrier for clinics
Administration support
• Support and follow up on all demands for service with Administration and Finance.
• Collect per week all daily worker timesheet weekly and be sure that they are filed correctly per worker and signed by direct supervisor
• Prepare the monthly daily workers report at the end of the month to be ready the first day of the month
• Maintain sector specific office files, including, contact information, and other general information.
• Contact and follow up with Administration as required to resolve problems with computers, telephones, software, networked printers, scanners, email, ftp site(s), and other applicable hardware/software.
Qualifications Requises
QUALIFICATIONS & EXPERIENCES
• Vocational School Trade (Secretary) or equivalent in work experience.
• At least 3 years of work related experience.
• Knowledge of Word, Excel, PowerPoint, and Windows.
• Work experience in INGOs strongly preferred – experience with Save the Children highly desirable.
• Strong oral and written communication skills in French, Creole and English preferred.
• Ability to act with diplomacy and discretion at all organizational levels.
• Ability to work with a wide range of information, organize details and meet deadlines under pressure.
• Ability to multitask and work well with others.
• Flexible and innovative.
