Introduction

• Support the Director of MFS and the entire team by coordinating the logistics and operational needs of all MFS activities.


Fonctions

• Contact vendors for marketing materials
• Prepare minutes of the meeting held by the team
• Analyze Pro-forma
• Raise Purchase Order in Workplace
• Send a weekly report to finance controller of the PO raised in Workplace
• Make sure vendors respect the agreements regarding marketing materials
• Coordinate with fleet to make sure all regional sales have car and fuel to perform
• Coordinate with finance for regional sales fuel Allowance
• Make inventory for marketing materials
• Assist the Pay-roll for temporaries
• Assist the Pay-roll for the NGOs
• Coordinate with operations ( Book room, request office tools for the team, etc)
• Arrange business Travel for the Management Team
• Prepare letter to send to the Bank regarding finance transactions
• Prepare cash advance and expense claim for the team
• Organize files and assist with daily office tasks


Qualifications Requises

Secretarial or Administration degree
2-3 years of experience


Conditions particulières

• English and French fluency
• Computer literate; Excel Spreadsheets and Microsoft Word
• Sales and marketing experience
• Accounting experience
• Excellent communication skills, both verbal and written
• Excellent organizational skills with the ability to prioritize workload and multi-task.
• Maintaining attention to detail
• High level of interpersonal skills
• Good analytical skills
