Introduction

The Senior Administraion Officer will be responsible for the management, administration and delivery of all Adminsitration services in order to ensure they are all accomplished in an effective and efficient manner within the guidelines of the administrative policy and procedures.


Fonctions

• Ensure the effective and efficient administration of the Department
a) Make appoitments
b) Understand Federation policy and procedures and communicate to the team.
• Supervise the administration staff and delegate responsbilities and provide leadership and guidance including orientation of staff.
• Focal point for the management and fling of all Federation contracts and MOUs
a) Manage Contracts dattabase and ensure renewals are done on time,
• Research both internal a extenal training for theDepartment staff and liaise with Human Resources on the implementation process,
• Prepare accurate and timely repors including Administration forecast and budgets.
• Liaise with Human Resources and ensure that all delegates’end of mission tickets are updated on time.
• Manage and liaise with Ministry of Foreign Affairs (MOFA) fir the delegates and PNSs visas.
• Liaise with Haitian Red Cross office for letters for the Ministry.
a) Prepare visa letter to the embassies for delegates in French and English,
b) Acompany delegates to the embassies for translation purpose.
• Ensure the production of narrative and financial reports which will include weekly reports


Qualifications Requises

• A university degree in Business or Public Administration, Management or related field
• Prior experience in Administration management and Team leadership
• Excellent financial management skills
• Strong oral and written communication skills (English, Spanish, French)
• Self-supporting in computers (with knowledge of IFRC software)
• Supervisory experience and ability to manage a team and commitment to the International Red Cross and Red Crescent Societies movement
