Introduction
OVERALL RESPONSIBILITIES:
The Human Resource Assistant is responsible for assisting the Human Resource Manager in HR office activities in Haiti. S/he works closely with the HR Manager and assists and facilitates recruitment, promotions and internal transfers, performance management processes, salary programs and all HR related activities; organizes and manages electronic records and documentation; communicates HR information and manages employment contracts and termination and all HR documents.
Fonctions
ESSENTIAL FUNCTIONS:
• Place internal/external vacancy announcements in newspapers, MSH notice boards and external web sites; HR Network
• Collect and sort hard and electronic copies of applications; conduct preliminary screening of applications and assist short listing for the HR Manager.
• Arrange interviews for short-listed candidates and communicate to the interview team; schedule candidates for tests and /or additional interviews as instructed by the HR Manager.
• Maintain contact with applicants; gather information and documentation; maintain recruitment tracking information and records.
• Assist in interviewing non-professional candidates.
• Facilitate human resources correspondence; assist with all HR related questions, deferring to the HR Manage when necessary.
• Draft employment, promotion, internal transfer letters or certificates of services to incoming and out going staff members.
• Point of contact for human resources information including but not limited to; recruitment, hiring, orientation, benefits, compensation, changes in employment, performance evaluation process etc.; disseminate pertinent information to appropriate people and office.
• Assist with performance evaluation process; distribute performance evaluation forms to supervisors; obtain performance ratings; maintain performance records.
• Facilitate organization and management surveys and studies through distribution and collection of documentation and assist with necessary arrangements.
• Manage personnel files and required documentation and ensure they are accessible and properly stored in a secured manner. Make personnel files and other documents available to authorized supervisors.
• Assist with employee salary adjustments and annual merit increase processes, documentation and communications.
• Track and facilitate annual leave of staff members; maintain annual leave and sick leave records and balances; manage documentation and communications; communicate to staff members regarding their leave balances.
• Maintain a positive work environment for staff and anyone requiring HR services; maintain the activities of the HR office in the absence of the HR Manager.
• Perform other HR activities as necessary.
Qualifications Requises
QUALIFICATIONS:
1. Degree in Management or Human Resource Management or related field with at least five years of experience in human resource administration
3. Proficient computer skills using Microsoft Office, experience with spreadsheets
4. Excellent interpersonal skills and ability to interact with culturally and linguistically diverse staff and clients
5. Demonstrated ability to gain the trust and confidence of colleagues and handle confidential matters discreetly; experience in conflict management
6. English, French and Creole Required
