Fonctions

The role is primarily to provide administrative support for the Customer Care Director to ensure efficient execution of her duties.

In addition, to provide administrative support for the Management Team by:

The administration of Purchase Orders, document filing, all departmental Travel Arrangements, management of Stationary, Office Equipment, Mobile phones, meeting arrangements, minutes and action tracking, organisation of departmental social events. Additionally, ensure that some administrative documents are delivered by the Management Team such as appraisal, timesheets, monthly reviews, probationary review, etc.
1. Schedule appointments, travel arrangements and accommodation for the Head of Department.

2. Perform administrative duties such as sorting, follow-up and forward all documents / queries as assigned by Customer Care Director within 1 day of receipt 90% of the time.

3. Ensure that all incoming calls to the Director are answered by the third ring.

4. Accurately raise and follow-up on Purchase Orders raised in the department ensuring that the department has at least two (2) week inventory for stationary and food supply.

5. Liaise with the other departments regarding key company matters as assigned by the Head of Department.

6. Prepare letters and memos when necessary.




7. Accurately monitor and distribute replacement SIMS for the entire company, ensuring that sufficient amount is available to supply all Front Offices and Regional Office and the entire company.

8. Plan and organize all external meetings/appointments and functions being held by the Head of Department.

9. Resolve customer queries (or make reference to them) e.g. Billing, General Info, Handset, products and services.

10. Activate all types of products and services e.g. VIP, Roaming and Voicemail (make reference to).

11. Complete Administrative Duties on Behalf of the Department e.g. follow-up contracts.


Qualifications Requises

• 2 to 5 years related experience in secretary position
• 2 to 5 years related experience
• Excellent knowledge in English and French language
• Minimum of 3 months tenure on the Customer Care
• Excellent knowledge of Microsoft Word, Excel and PowerPoint

Functional Skills:
1. Good oral and written communication skills
2. Good interpersonal skills
3. Good Knowledge of Microsoft Office Products (i.e. Excel, Word, PowerPoint)
4. Good Time Management and Organisational skills
5. Strong Sense of discretion
