Introduction

The Local Procurement Assistant will support the efficient procurement of goods and services by assisting in vendor management, documentation, logistics coordination and ensuring compliance with the organization’s policies and local regulations. Reporting to the Procurement Coordinator, the assistant will help prepare procurement documents, liaise with local suppliers, maintain accurate records and ensure timely delivery of goods and services. This role requires strong organizational skills, attention to detail and a foundational understanding of procurement processes, offering an opportunity to the organization’s success while gaining valuable hands-on experience in procurement operations.


Fonctions

• Assistant in preparing procurement documents, including request for quotation (RFQs)
• Help in collecting and reviewing vendor quotations and proposals
• Maintain accurate up-to-date procurement records, including files, quotations and contracts
• Assist in organizing and facilitating vendor meetings, suppliers evaluations and contract negociation.
• Assist in identifying potential local suppliers and building cordial relationship with them.
• Communicate with suppliers to clarify procurement requirements and timelines.
• Coordinate deliveries and purchased goods and services, ensuring timely receipt.
• Work closely with finance team to ensure accurate financial documentation related to procurement activities is submitted on time.
• Assist in preparing and reviewing invoices, purchase orders and payment documentation to ensure they are aligned with procurement records and are in compliance with financial policies
• Support the Procurement Coordinator with administrative tasks and special procurement-related projects as required
• Take on other related duties assigned by the Procurement coordinator or Program Manager.


Qualifications Requises

• A Bachelor Degree in Administration, Supply chain Management or a related field.
• At least three years of experience in procurement, logistics or supply chain management.
• Previous experience working in a similar role in a NGO or international organization is preferred.
• Proficiency in Microsoft Office (World, Excel, Powerpoint.
• Good knowledge of procurement principles and procedures.
• Ability to communicate effectively with vendors, colleagues and other stakeholders.
• Proficiency in French and English.
