Introduction
Under the general supervision of the Country Director/Chief of Party and the Human Resources and Office Manager, the Human Resources & Admin Coordinator is responsible for recruitment, integration processes, compensation, record keeping and personnel systems, and leads human resources initiatives as required. In addition, the HR & Admin Coordinator promotes a positive work environment based on the values, code of ethics, and conduct of the international organization.
Fonctions
- Assist the Office Manager in the preparation of procedures and ensure that they are followed and applied
- Review conditions of employment and working conditions to ensure compliance with local labour codes.
- Conduct recruitment by ensuring that job descriptions are current and up-to-date, advertising job postings and selecting candidates, communicating with candidates, scheduling, facilitating and participating in interviews.
- Conduct background and contact reference checks on potential candidates
- Prepare and send rejection emails, job offer emails and employment contracts for new employees, and renew existing employment contracts as required
- Ensure the availability and complete documentation necessary for the preparation of employee payrolls
- Develop and implement tools to monitor recruitment, contracts, vacations, etc.
- Create and implement an effective induction program and ensure that employees meet all requirements.
- Assist in the performance management process
- Update compensation information, answer compensation questions and explain insurance plans
- Participate in the process of employee dismissal, write letters of dismissal and conduct exit interviews
- Create, update and maintain all employee records, both electronic and physical.
- Supervise the preparation and issuance of applications for employment certificates
- Work closely with the administration for the delivery of materials to the new employee
- Ensure follow-up with the new/transferred/promoted employee's supervisor at the end of probation.
- Coordinate with the insurance company for key aspects of health and life insurance coverage
- Replace the Human Resources and Office Manager in case of absence
- Execute and support the supervisor in all administrative tasks of the office (contract management, other offices, apartments, supervision of office equipment if required)
- Perform all other duties as assigned by supervisors.
Qualifications Requises
-Bachelor’s degree in Human Resources, Business administration or related field
-At least 5 years’ experience in Human Resources and 2 years in supervising staff
-Experience working with NGO
-Familiarity and experience with Local Labor Laws
Excellent interpersonal skills, verbal and written communication skills
Strong organizational, supervisory, and leadership skills
Willingness and availability to travel, to work under pressure, and perform other duties as needed
Excellent Microsoft Office computer skills (Word, excel, power point and outlook)
Fluency in written and spoken English and French
