Introduction

RTI International is currently accepting applications for a Operations Assistant for the USAID/Haiti Project Supporting the Efficient Management of State Resources (GERÉ; Projet d’appui à la Gestion Efficace des Ressources de l’État). GERÉ’s three objectives are as follows:
1. Select government entities’ ability to manage and mobilize resources and deliver services to citizens improved
2. Greater engagement between citizens, civil society, the private sector, and government in defining and addressing development priorities
3. Improved communication, collaboration, and coordination across and between levels of government—and with parliament—on policy, budget, and service delivery issues


Fonctions

Project Procurement and Administration Support
• Support with the preparation and management of tenders and bids.
• Provide support at project meetings and conferences including courier services, maintaining documentation for per diem payments, collecting receipts, and other duties.
• Provide office procurement and courier services, including but not limited to, purchasing supplies and materials, paying bills, and delivering packages.
• Maintain accurate supplier information across various Supplier Database(s)
• Maintain accurate Supplier product information and price files
• Pick up and deliver project documents
• Support the photocopying, production and binding of official documents as requested by senior staff.
• Facilitate for the Custom Clearance of equipment, as applicable.
• Works with vendors to schedule shipping and delivery times
• Verify that the correct items and amounts have been delivered

Inventory Oversight and Maintenance:
• Ensure RTI assets are safeguarded and used properly.
• Supports the review of inventory with the Operations Manager to ensure effective logistics management to the project.
• Ensure office premises and facilities are well-maintained and clean - including supervision of trade contractors (electrician, phone, etc).
• Assist in keeping record of RTI vehicles providing information on repairs, fuel consumption and other information that may be necessary to prepare the maintenance orders.
• Ensures filing is up-to-date and maintains complete and accurate record of Procurement and service contracts
• Perform other similar duties as directed by Operations Manager.


Qualifications Requises

• At least 3 years of professional experience with strong recommendations from previous supervisors.
• Experience in procurement, office administration, logistics management, and event/meeting coordination.
• Good analytical skills and deadline driven
• Hard worker with good interpersonal skills and high-level of integrity.
• Proficient in Microsoft Office programs, such as Excel
• Good time management and organizational skills
• Excellent communication skills both written and verbal
• Respectful and tolerant; able to work well in a diverse team.
• Fluent speaker of French. Basic English fluency is preferred.
