Introduction
The Administrative Assistant as part of the IOM Mission in Haiti under the supervision of the Administrative Officer will undertake and be responsible for the following duties:
Fonctions
1.Receive guests/visitors and inform concerned staff of their arrival
2.Prepare, receive, forward and file all incoming correspondences related to the office
3.Organize and maintain project files record
4.Responsible of attendance file records for the department
5.Receive, screen and forward incoming and outgoing telephone calls for the office
6.Keep updated related contact list
7.Assist for the planning of activities (meetings, seminars, trainings, invitations, etc…)
8.Assist for travel arrangements (prepare TAs for the concerned staff, follow up on the SC, MOP, WFP/UNHAS and hotel bookings with the receptionist, transportation with logistics)
9.Identify with the Administrative officer, the recruitment needs for the unit
10.Follow with HR, Logistics/Procurement and Finance for staff and provider’s contracts and payments
11.Perform other duties as may be assigned
Qualifications Requises
Education background in Management, Administration or other related subjects. At least 3 to 5 years experience in a similar position, especially in NGO or International Organization is an asset.
Good writing, communication, organizational and computer skills.

Conditions de travail
Thorough knowledge of English, French and Creole. (Written and spoken) Spanish, an asset.
