Project’s Objective:
SI is implementing the USAID-funded Evaluation and Survey Services (ESS) project in Haiti. The objective is to provide technical services to design and carry out evaluation activities in support of USAID/Haiti programs. These could include performance baseline surveys, mid-term and final performance evaluations, impact evaluations, and assessments. Through this ESS contract, USAID/Haiti seeks to more cost-effectively and efficiently measure, monitor, and evaluate the impact of US development assistance in Haiti.


Fonctions

Position Description:
SI is seeking a full-time Finance and Administration Assistant to support all accounting (book keeping) activities under the contract, as well as support administration tasks on the project. This is a full-time position based in Port-au-Prince for the duration of the project and will report to the DFA (Director of Finance and Administration).
**Please note: This is a local position. Only Haitian citizens are eligible to apply.**
Responsibilities:
• Book keeping: Record all transactions in the accounting books (or software) under the supervision of the DFA and SI’s accounting Firm.
• Fill in forms for the monthly and annual tax reports for the DGI (Direction Générale des Impots). Proceed to payment after validation of the DFA and SI’s accounting Firm.
• Track the taxes planning and monitor the deadlines to avoid delay and penalties from the tax authorities.
• Assist in the monthly declaration and payment of OFATMA, ONA and any other salary related contributions or withholdings.
• Prepare payment vouchers
• Contribute to the preparation of the monthly Field Office Expense Report (FOER)
• Ensure proper filing and the accounting files
• Keep HR files up to date (Contracts, timesheets, leaves etc)
• Conduct procurement of Services and travels (Car, Hotels, Venue), and follow-up on procurements.
• Mobilize personnel and consultants by arranging travel and lodging.
• Ensure smooth operations by coordinating with drivers, translators, interpreters, venues, caterers, suppliers, activity-specific logisticians, etc.
• Draft Requests for Quotations for purchases below 3000 USD, coordinate proposal reviews, and write justifications for the selection of vendors in accordance with USAID and Social Impact policies.
• Assist the Director of Finance and Administration reviewing and revising legal documentation, as needed, to operationalize the field office, such as leases and purchase orders.
• Assist the DFA in any other Financial or Administrative tasks.


Qualifications Requises

• Bachelor’s degree in Accounting, Business Administration or Commerce. Bachelor’s deegree in accounting is preferred.
• Three years practical work experience in Finance and administration.
• At least 3 years’ experience working with QuickBooks.
• Organizational skills and attention to detail.
• Ability to manage, prioritize, and follow through on multiple tasks in a fast-paced, deadline-oriented environment.
• Strong work ethic and the ability to work as part of a team.
• Fluency in English and French (Good skills in both oral and written).
