BACKGROUND
Chemonics International, an equal opportunity employer, is seeking an Administrative Assistant for the USAID-
funded Integrated Financial Management System (IFMS) Project


Fonctions

DUTIES AND RESPONSIBILITIES
 Prepare procurement of commodities by ensuring all required documentation are in file according to
Chemonics policies
 Manage petty cash and assist with all aspects of procurement, bookkeeping, administrative
management, directory maintenance, logistics, equipment inventory and storage
 Assure on a daily basis that all supplies on hand are adequate, including generator fuel, fuel in
vehicles, paper in bathrooms, kitchen supplies, office supplies in cabinets
 Schedule and coordinate meetings, interviews, events and other similar activities
 Prepare correspondence, reports and trackers typically using Microsoft Office (Word, Excel,
PowerPoint, Outlook)  Respond to telephone inquiries, receive and register visitors and direct them to the appropriate office
after checking with the recipient;  Assist project staff providing clerical functions, such as making copies, bookkeeping, filing,
correspondence, flyers, invitations, etc.  Make reservations for hotels, travel, car rentals, etc.  Prepare pouch to Home Office and keep a log of in and out pouches;  Prepare payment of the office utilities invoice
 Manage periodic entertainment/representation;  Any other duties as assigned by the Administration Director


Qualifications Requises


QUALIFICATIONS and KEY COMPETENCIES
 Education and Experience: Complete formal 2 years degree or certificate in an education program for
administrative support. At least two years of relevant experience in Haiti or the U.S. especially in petty cash
management and procurement are required. USAID project experience is highly desirable;  Computer Skills: Ability to effectively use computer software including word processing and basic spreadsheet
applications, archive and retrieve documents efficiently;  Organizational Skills: Ability to work independently with minimal supervision, prioritize multiple work
assignments in an extremely fast-paced environment, organize work efficiently and meet deadlines, and to
exercise good, professional judgment that reflects positively on the image and communicates the established
program message of the IFMS project;  Interpersonal Skills: Ability to work in a professional and cordial manner with fellow staff members,
subcontractors and vendors, governmental entities, support organizations, and the general public; set a positive
example for support staff including:

- Teamwork and collaboration skills  Language Skills: Fluent French and functional English are required (both writing and speaking).
