Introduction

The Procurement and Supply Management project will be the primary vehicle through which USAID will 1) procure and provide health commodities, 2) provide technical assistance to improve partner countries’ management of the supply chain, and 3) collaborate with key international stakeholders to support global health initiatives. The Haiti office will work under two of the project’s task orders (HIV/AIDS and Population and Reproductive Health) to provide commodities and supply chain technical assistance.

Position Purpose:
The Administrative Assistant will carry out duties designed to meet the objectives of the day- to- day operations of the project. The Administrative Assistant will carry the following responsibilities.


Fonctions

Specific tasks to be completed under this SOW are as follows:

• Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals
• Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
• Provide general support to visitors
• Organize and schedule meetings and appointments
• Daily management of Petty Cash disbursements and reconciliation
• Manage the storage room
• Maintain contact lists
• Produce and distribute correspondence memos, letters and forms
• Supervise the general services staff (cleaners, housekeepers)
• Develop and maintain a filling system
• Order, manage and distribute office supplies
• Assist with the day -to day efficient operation of the office
• Draft and type correspondences
• Work closely with the Executive Assistants
• Support Managers and employees through a variety of tasks related to organization
• Draft (PAR) Purchase Action Requests and Payment Requests for Staff
• Assist the Operations Manager in all operations requests
• Perform other duties as may be assigned by her supervisor


Qualifications Requises

• High school diploma is required
• Minimum of four years’ experiences in providing administrative and logistical support to international NGOs preferred.
• Proven admin or assistant experience
• Knowledge of office management system and procedures
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Excellent and demonstrated organizational skills, attention to detail
• Strong organizational and planning skills
• Demonstrate excellent interpersonal skills and ability to be a strong team player
• Present a professional demeanor and exercise professional judgment
• Ability to prioritize work assignments and to work with minimal supervision;
• Excellent writing skills in English and French.
• Advanced computer skills, particularly in MS Office Software, word processing and spreadsheets required.
