Introduction
La Fondation Fonkoze est une institution à but non‐lucratif Haïtienne fondée en 1994 par le Père Joseph Philippe et un groupe d’organisations de base et reconnue d’utilité publique depuis 2005. La mission de la Fondation Fonkoze est de travailler avec ses membres et avec toutes les personnes qui veulent travailler ensemble pour leur permettre d’accéder aux services financiers et à l’accompagnement dont ils ont besoin pour créer plus de richesse pour leur famille et pour leur communauté. A ce jour, la Fondation Fonkoze compte plus d'une centaine d’employés qui donnent des services de
formation et d’accompagnement dans plus de 20 localités du pays.
Fonctions
Description:
The Administrative Assistant/Fonkoze Foundation and Fonkoze USA liaison (henceforward Administrative Assistant) provides quality administrative, logistics and communication support to the Executive Director of the Fonkoze Foundation, to the Fonkoze Foundation board and to the operations of Fonkoze USA in Haiti. Responsibilities:
In support of the Fonkoze Foundation board:
- Support the President of the board and the Executive Director in preparing the board meetings, including help set dates, coordinate with members for transport and lodging, prepare and distribute per-diems, prepare and distribute board documentation, prepare venues for meetings and ensure catering;
- Take board meeting minutes, ensure they are properly signed and filed;
- Manage the archives of the board;
- Organize board events, visits, travel of board members;
- Support board committee presidents by helping set dates, organize venues, and take notes at board committee meetings.
- Perform any other reasonable task set by the board President.
In support of the Fonkoze Foundation CEO:
- Maintain the Foundation’s paper and electronic archives;
- Set-up and maintain the Foundation’s grant management database in Salesforce, follow-up and report on reporting for donors;
- Set-up and maintain the Foundation’s contact database,
- Organize Foundation events such as management team meetings and retreats, special central level workshops, trainings and communication events.
- Actively participate in internal and external communication initiatives in collaboration with the Fonkoze communications officer;
- Support the Person in charge of HR with maintaining the employee files;
- Organize the Executive Director’s files and take care of her correspondence and agenda as requested;
- Represent the Foundation in meetings and workshops, receive guests and accompany donors or visitors on field visits;
- Participate in the Fonkoze Foundation Ekip Lidèship meetings and retreats;
- Work with the SFF Executive Assistant to organize Fonkoze Family events in Haiti.
In support of the operations of Fonkoze USA in Haiti:
- Marking & Communication
o Translate 3-4 3-4 client profiles per month provided by the Foundation communication officer;
o Maintain database of client stories/profiles, waivers, and corresponding pictures.
- Coordinate the following trips for Fonkoze USA : 3 insight trips per year, 1 photoshoot trip and 1 trip of the Fonkoze USA CEO. This includes participating in them upon request, and coordinate all in-country logistics of the trips to include the following:
o Hotel arrangements
o Airport transfers
o Confirm vehicles and drivers
o Make arrangements with FDN staff to select clients to visit and accompany the visitors
o Coordinate with Fonkoze USA to build the itinerary for each trip.
- Participate in Fonkoze USA team meetings as follows:
o Weekly staff meetings
o Annual staff retreat
o Fonkoze Family Board Meeting (annually March)
Qualifications Requises
Profile:
• A graduate degree in administration, management, communication or related field.
• At least 3 years of experience in a structured work environment demonstrating proactivity, capacity to learn and take initiatives, attention to detail, rigor and thoroughness.
• Competency in MS Word, Excel, and PowerPoint. Experience with Salesforce is an advantage.
• Excellent communication skills both oral and in writing in English, Creole and French.
• Strong problem-solving skills,
• Ability to work independently and with attention to detail.
• Strong presentation skills including the ability to present to donors and other key stakeholders.
• Excellent diplomatic, interpersonal and communication skills.
• Willingness and ability to travel to in-country field operations required.
• Familiarity with the political, social, economic and cultural context of in Haiti.
