CHILD SAFEGUARDING:
Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.
We need to keep children safe so our selection process, which includes rigorous background checks, reflects our commitment to the protection of children from abuse.


Fonctions

ROLE PURPOSE:
The Sponsorship Servicing & Quality Coordinator works closely with the Sponsorship Manager, sponsorship programmes, Global Sponsorship Operations (GSO) and other country office staff as relevant to meet all sponsorship-related objectives as related to quality, authentic, accurate and timely sponsorship communications and child information (Data) in in their country office. This person ensures that sponsorship resources are focused on retaining sponsors and providing them with a meaningful and robust sponsorship experience, always keeping the viewpoint of the sponsor in mind when reviewing outbound country office sponsorship materials. Specific responsibilities include:
 Ensure timely and accurate collection and submission of data as outlined by Global Sponsorship data requirements
 Oversee collection of child data, photos, marketing assets and child-to-sponsor correspondence
 Ensure child and country office communications are written in a way to promote sponsor-child engagement
 Provide/coordinate training of field staff in sponsorship marketing asset management
 Identify and communicate program and child success stories to Global Sponsorship team
 Ensure high quality correspondence and sponsorship deliverables as required.

KEY AREAS OF ACCOUNTABILITY:
1. Child Information Management:
 Ensure all child information management processes and activities are delivered in accordance to the relevant Sponsorship Policies and Procedures (P & P)
 Administer the sponsorship database (ASISt), liaison with Sponsorship centre in SCUS on issues regarding the exchange of Sponsorship data. Ensure accuracy and timeliness of the management of the ASISt database, and train relevant staff on its functioning.
 Ensure all required child data is collected and entered into ASISt database for timely submission, with particular attention to detail during AFU (Annual Family Update), communications, MYEC (Mid-Year Eligibility Check), CIMP (Child Information Management Plan), PAL (Pro Active Letter).
 Ensure that the Monthly Management Report (MMR) is ready on time to be submitted every 8th of month to SCUS.
 Ensure the quality checking before the weekly downstream is processed by the ASISt officer and carryout subsequent processes within the given timeline and that the bi-monthly upstream are created for submission to SCUS in a timely manner.
 Work with Field Project Coordinator and community agents to deliver high quality and accurate data collection in collaboration with Sponsorship Manager, Field Management Coordinator and Save the Children US (SCUS) Manager of Sponsorship Child Information.
 Conduct and manage the quality review of all child information and photos for children enrolled in sponsorship prior to data being entered into ASISt and submitted to SCUS.
 Work with Sponsorship Manager, Field Management Coordinator, Manager of Sponsorship Child Information and Global Sponsorship Operations (GSO) backstop on ways to increase operational efficiencies for quality data collection and submission.
 Serve as the contact person for any data quality issues reported by SCUS and coordinate resolution with country office staff.
 Ensure that the Child Information Management Plan is reached every year
 Ensure the reporting of Child Death to SCUS within the deadline.

2. Sponsor Servicing and Retention:
 Ensure that the annual refresh of sponsorship routine correspondence templates is held annually, ensuring they are high quality, appropriate, and easy to understand.
 Ensure children’s participation in the creation of new child letter templates to guarantee that children’s input is included at all times.
 Do quality checks on emails and letters being sent to sponsors from the country office and ensure each communication checked meets standard quality.
 Ensure child letters are authentic, timely, engaging and of acceptable quality to mail to sponsors.
 Work with GSO and Sponsorship Manager on the integration of child correspondence collection with program activities to increase operational efficiency.
 Determine if any sensitive communications from sponsors should be flagged and sent to Member offices for handling.
 Coordinate all sponsors visit with SCUS approval and Sponsorship Manager.
 Respond to Sponsors request per Sponsorship Policies and Procedures deadlines.

3. Marketing Assets:
 Ensure all marketing materials produced are high quality and are delivered in accordance with the Sponsorship Marketing Manual.
 Work with field staff to supply materials (written pieces, video, photos) that bring alive our programs and the realities facing children and communities in our impact area(s) according to the Marketing Manual.
 Ensure that materials are collected the whole year for Annual Status Report.
 Ensure all marketing assets submitted by field staff (program teams and partners) meet or exceed guidelines and accurately and emotionally depict the impact of sponsorship programs.
 Submit all required marketing assets to SCUS Marketing Retention by required deadlines.
4. Personnel management & capacity strengthening:
 Provide support, advice and coaching for staff development. follow the performance management process (annual objectives, mid evaluation and final)
 Participate in the recruitment of all the staff for Sponsor servicing
 Conduct regular meetings with Sponsor Servicing staff of CO & FO to ensure convincing team results and ensure collaboration with interdependent teams for synergy of interventions.
 Provide field staff with tools and guidance to take strong child photos, identify compelling child stories, and provide impactful information about our programs to share with sponsors.
 Plan and conduct orientation and training on Sponsorship P & P, data collection, quality photo taking and correspondence collection for all new field staff and ongoing training for existing staff members.
 Participate in monitoring and review sessions and webinars with GSO, Country Offices, SCUS Marketing Retention and Sponsor Services to improve operational efficiency with a special focus on quality data and communications.
 Frequent travel to the field
 Coordinate with SCI regional office and local universities in the recruitment of students as interns to supply yearly workflow demands.
5. All other duties and assignments as required by Sponsorship Manager:
 Work with Sponsorship Manager and field staff to identify Lifeline and other representative children who will best fit the required criteria.
 Oversee collection of assets during any emergency response.
 Participate in any relevant ad hoc projects.

Qualifications Requises

QUALIFICATIONS
Communications or Marketing Degree or qualified by a minimum of 3 years relevant professional experience
Prior experience in child sponsorship strongly preferred.

EXPERIENCE AND SKILLS
 Previous experience of working in quality management and marketing communications in the humanitarian sector.
 Demonstrated ability to set and achieve objectives and deadlines.
 Proven ability in writing and editing of creative pieces (e.g. blog posts, case studies).
 Proven attention for detail and ability to effectively manage a high volume of data and information.
 Excellent interpersonal and verbal / written communication skills in order to deal tactfully and sensitively with a wide range of people in a large organisation, very often at a distance
 Good project management skills.
 Excellent computer skills including word processing, presentation and use of spreadsheets combined with the ability to maintain office and management information systems.
 Fluency in English, both written and verbal, a must.
 Strong customer servicing skills.
 Experience of problem solving.
 Willingness and ability to travel regionally and nationally as needed.
 A flexible and initiative-taking attitude with the ability to manage an unpredictable workload.
 Ability and willingness to change work practices and hours during major Sponsorship campaigns.

SCOPE OF ROLE:
Reports to: Sponsorship Manager
Staff reporting to this post: Sponsor Servicing ASIST Officer, Sponsor Servicing Translator Officer, Sponsor Servicing Data Entry, and Sponsor Servicing Assistant.
Budget Responsibilities: The Coordinator will be required to work with Sponsorship Manager on Sponsor Servicing portion of budget to ensure resources needed to sufficiently fund quality data and communications are accurately reflected in budget planning that she/her will be managing after approval.
