Introduction

Role Description: The Operations Manager is responsible for the successful management of labor, productivity, quality control and safety measures. He/she is a member of the senior management team and collaborates with all staff regarding the smooth running of the company, ensuring the efficiency of services that meet the expectations and needs of staff and clients.


Fonctions

Key Responsibilities

1) Operations Management
- Directly manage and oversee the work of operational staff in charge of procurement, on the ground logistics and office coordination in both offices (Port-au-Prince and Cap Haitien)
- Maintain safe and healthy work environment by establishing, following and enforcing standards and procedures;
- Analyze process workflow, employee and space requirements and equipment layout; implement changes as necessary
- Manage relationships with key operations vendors
- Review and approve all operational invoices and ensure they are submitted for payment
- Communicate all operating policies and/or issues at staff and department meetings
- Establish contracts and pricing, ensure proper maintenance, and serve as primary liaison with utility companies, as well as health and safety service providers, such as insurance company
- Monitor and analyze the current system of provision to check if it’s effective, and working out a strategy for improving if necessary
- Responsible for the application of established internal control procedures in regards to all procurement requests
- Make necessary updates with Managing Partners’ approvals to procurement, security and safety, as well as office management manuals; ensure all staff are trained on all policies and procedures and that those are enforced
- Communicate with legal counsel to ensure all processes remain compliant with governmental regulations
- Supervise the prompt and satisfactory completion of all maintenance requests
- Oversee company inventory; work closely with the procurement staff and Office Coordinators to perform analysis of company inventory and ensure we are utilizing inventory effectively, purchasing the right equipment, maintaining solid inventory data and reducing sub-rental expenses
- Contribute operations information and recommendations to strategic plans and reviews; prepare and complete action plans as requested
- Other tasks related to the position

2) Human Resources:
- Determine HR needs, lead recruitment, hire employees, oversee assignment of employees, plan staff development, council and discipline employees
- Is responsible for the application of established internal control procedures in regards to all hiring personnel
- Support the newly hired staff with the on-boarding process; ensure all staff are trained on all policies and procedures, and that those are enforced
- Track and measure administrative staff performance; propose and review compensation actions
- Serve as the primary processor of human resources benefits, contracts, claims, disciplinary actions before they are presented to the Managing Partners for review and approval
- Is responsible for improving filing and retrieval system of HR related data, as well as for the maintenance of historical human resource records; strict management and efficient organization of HR files is expected
- Maintain management guidelines by preparing, updating, and recommending new human resource policies and procedures to Managing Partners


Qualifications Requises

Professional Requirements
- Minimum five years of work experience in a similar or related management position
- Higher education degree in Business Administration, Operations Management, HR or other relevant field
- Strong computer skills needed
o Knowledge of HR management software or database is a plus
o Proficiency in business planning software such as Salesforce is also a plus
- Excellent written and oral communication skills in English, French, and Creole
- Experience managing people and tasks from a distance
- Out of Port-au-Prince and overnight travel is occasionally expected

- Proven ability to manage large varied workloads and deal constructively with stress over long hour periods
- Proven ability to multitask, prioritize tasks, meet deadlines and work under limited supervision
- Easily adaptable to new technology and software
- You must be able to see the big picture as well as the finer details, as your work is across the spectrum. You will deal in small daily matters, as well as larger aims and setting goals. A systematic organized approach to work is vital.
- Brilliant communication and interpersonal skills, for dealing with many types of people at all levels in a direct diplomatic way, are essential. An understanding of customer/client requirements is also necessary.
- Strong leadership skills, including effective time management, prioritizing and delegation, are required. You must be able to lead, coach, inspire, support and motivate your team, and always seeking to improve best practice.
- Having natural creative flair and being full of ideas and energy to introduce new concepts and innovations would also be advantageous.
- Good sense of humor is always appreciated.
