Introduction

Olive Tree Projects (OTP) is a non-profit organization, registered in Canada and the United States, that works in Jacmel, Haiti, with the goal to keep children in families. We strive to reach our goal in three ways: Maternal care, to keep mothers alive, healthy and empowered; Foster care to keep children, who would otherwise be in orphanages, in a family; and Bottle depot which provides employment to parents who would otherwise have no income.


Fonctions

The In-Country Director is accountable for oversight of a country office from an administrative, HR and programmatics transactional activities perspective. The position ensures that the midwifery center, foster care program and bottle depot are run according to OTP standards and in compliance with related policies and procedures. In addition to general office management, this role serves as the HR coordinator, program coordinator and liaison between boards of directors with regards to transactional local functions.

The role is responsible for the coordination and management of policies, and auditing of all admin processes, template management, administration efficiencies and best practices. The position ensures compliance with operational requirements and ensures that all processes are streamlined across the office/clinic. The role also includes ensuring standardization and quality control of all administrative and HR procedures and protocols. Ensures training and compliance of the midwifery center, foster care and bottle depot staff and office is managed.

Responsibilities:

Staff management:
- Maintain effective and appropriate staff recruitment, induction, appraisal, remuneration and development practice at all levels
- Write employee contracts
- Carry out hiring/firing of staff with communication of another OTP director
- Conduct group and individual staff meetings - Identify training needs in collaboration with the clinical director and ensure implementation of training programs for the team as well as other cross-functional members as appropriate
- Lead and direct the staff in accordance with sound management practices and OTP policies and accountabilities
- Ensure effective team communication, performance and documentation of affairs activities
- Collaborate with the Clinical Director to manage the in country operations and ensure their activities are prioritized to meet the midwifery operations and country objectives
- MSPP relations
Financials:
- The Country Director has ultimate accountability for all financial matters in the field and must review and approve the monthly management accounts.
- Responsible for the consistent flow of revenue to the organization, to support programs and activities through a diverse and multi-faceted income stream: Bottle Depot, Midwifery Center, Foster Care & Scholarship Program
- Ensure that comprehensive and timely reports are produced in accordance with schedules;
- Retrieve money from the bank
- Overlook expenses entered by the secretary at the end of each month to ensure the expense entered matches the money distributes
- Receive requests from clinical staff to assist women with extenuating circumstances and decide if/how we can assist
Donor Communication:
- Work with the board of directors to design and implement annual and multi-year fundraising strategies and plans to meet fundraising goals.
- Research, initiate and cultivate relationships with current and prospective individual, corporate and foundation donors to secure gifts of all sizes.
- Train and support board members and supporters to cultivate, solicit and thank current and prospective donors.
- Oversee planning and implementation of events to increase the public’s engagement with OTP’s programs, cultivate donor relationships and raise funds.
- Identify potential grant opportunities, determine grant eligibility requirements and submit formal grant applications and track progress.
- Identify opportunities to build awareness and grow OTP’s donor base
- Lead OTP’s marketing, public relations, and promotional activities, digital and print communication, including OTP’s newsletter, social media platforms, e-communications and website.
- Host occasional visitors, volunteers, and board directors
- Answer inquiries from donors or potential donors that cannot be answered by our Canada-side donor communications volunteer
Board of Directors:
- Attend board meetings to provide progress reports/status updates on the work and progress of OTP
- Ensure a regular flow of information is available to the funding departments and to donors, funders and board
- Communicate with the donor communications volunteer and coordinate outbound communications (email updates, announcements, program updates, initiative launches)
- Submit bi-monthly reports to key board members to assist the board in tracking progress of daily operations


Qualifications Requises

Fluent in English. Conversational in French or Kreyol.
Minimum 2 years work experience in the mission field. Previous experience in Haiti is a plus.
Education or previous experience in business management, accounting, and human resources, or adequate references of organizational ability and efficiency
Competent using Microsoft Office, Google Docs and Google Drive
Excellent leadership skills
Good collaboration and communication skills
Self-motivated, ability to multi-task and adapt to changing environment and needs
Ability to work independently as well as in an interactive environment
