Maternal, Adolescent & Child Health (MatCH) is a division of the Wits Health Consortium under the School of Public Health of the University of the Witwatersrand. MatCH is a consortium partner implementing the EQUIP project. EQUIP is an international grant to implement projects in five key solution areas - innovative models of ART service delivery; innovative approaches to support viral load scale-up; strategies and technologies to more effectively identify and link patients to treatment, foster ongoing adherence and retention; identify approaches that respond to the needs of key populations and promising “Test and Start” strategies in countries in Africa, South East Asia and the Caribbean.
Fonctions
Main Purpose of the Job
The incumbent will provide administrative support to various technical and Operation staff members including travel arrangements, meeting scheduling and reporting, and responsible for the management and professional upkeep of the reception area to ensure quality of service to all staff, callers and visitors.
Key Performance Areas
•Coordinating scheduling, workflow, communications and day to day operational and administrative issues and including coordination of meetings across multiple time zones, offices, and partners.
•Assisting with travel arrangements
•Attending to visitors and ensuring that the visitors register is completed
•Arranging the courier services; Circulation of mail; Distribution and management of stationery
•Manage the booking of boardrooms
•Develop and maintain a filing system
•Plan meetings and take detailed minutes
•Assist vehicle utilization and fuel consumption reporting
•Assist with obtaining quotes and compiling procurement documentation
•Sign for and distribute delivered packages
•Maintain confidentiality in all aspects of client, staff and agency information.
•Coordinate the drivers and janitor schedules of work
•Perform all other duties as assigned
Minimum work experience
•3 years of work experience in similar position
Qualifications Requises
Required minimum education and training
•University level education
•Fluency in French and level 4 in English
