Introduction

Child Hope International (CHI) is a Christian 501(c)3 non-profit organization based in California, USA. CHI was founded for the purpose of establishing and financially supporting the Maison de Lumiere (MDL) Orphanage, in Port-au-Prince, Haiti, which exists to provide care for the orphaned and create Hope for families in Haiti, through Christian motivated care, relationships, and training. Our vision is to provide orphan care that reduces the future demand for orphan care in Haiti.


Fonctions

Under the authority and supervision of the Directors, he/she is responsible for the financial & Human Resource management of the MDL office in Haiti and continued development of procedures and tools to best facilitate smooth financial office operations.

Accounting
The accountant must have strong time management and analytical skills and demonstrate attention to detail and excellent communication skills

Daily
Cash reconciliation
Haiti bank account reconciliation
Check & Cash distribution and recording
Procurement
Consistently monitor the cost and frequency of all budget items
Supervises the preparation of documents for the review of outside auditors.
Implements the organization’s overall accounting policies

Weekly
Enter activity into Quickbooks
Monthly
EOM, cash reconciliation for stateside
Payroll direct deposit preparation and authorisation for bank
Prepare next months payroll and wire transfer amounts via email for stateside

Prepare monthly cash on hand requests (General Funds)
Prepare DGI & ONA paperwork. Oversee payment before the 10th of every month
Prepare monthly recurring charges for( internet, EDH, security company,Vendors ..)
Input and track time card data for payroll
Update MDL Quitus as soon as needed (every 3 months)

Yearly
Accrue OFATMA amounts each month to be payed one time annually
Renew Patente, fiscal matricule annually for MDL
Rent payment , DGI deposit taxes (acompte).
Levy the fees for the renewal of the employee registration number for each fiscal year

Human Resources

Tasks
Administer recruitment, interviewing and hiring of new employees under the control of the director
Welcome and provide orientation to new employees
Prepare, update and maintain employee personnel files
Manage all employee documents (work contract, salary, payroll sheets, contract resiliation, etc.)
Follow up with insurance claims and employee reimbursements
Manage all HR responsibility (recruitment, departure, vacation, salary)
Identify the needs for procedures and work tools to create them
Ensure compliance with national laws (i.e. Labor codes), of administrative processes and the internal regulations of Child Hope International
Assist the other departments in the process of evaluating employees
Ensure perfect communication between staff and organization
Inform the immediate supervisors and employees of labor laws and the internal regulations in conflict resolution
Payroll
o Responsible for compiling employee time card data, vacation/holiday info and preparing payroll and sending it to the Director for approval.
o Send an email to the bank and a letter to process the payroll online ( wire payment)
Control and direct all human resources functions at Child Hope International (CHI) Haiti operations
Propose a policy of personnel management and human resource development
Write, maintain and update CHI HR Manual
Manage, maintain and develop human resources qualitatively and quantitatively
Anticipate the needs of CHI in abilities and labor
Manage careers and establish recruitment procedures or downsizing
Training of staff
Development of staff (recruitment, transfer, promotion)
Contract of employment, wages, layoffs
Contract outside day labor, contractors and consultants
Write and implement employee contracts
Develop internal communication within the institution, such as an internal newsletter
Ensure the implementation and enforcement of labor law and social legislation
All other related tasks assigned by the Director.
Buyer
Responsible for sending the driver one time a month to purchase Food ( Bulk shopping )
Order water, diesel, propane, and all other items essential to the day to day function of the orphanage
Must keep accurate records of food purchases and food usage at the boys’ and girls’ homes.
Assists the Children’s Home Supervisor with paperwork, funds requests, employee time off requests, and all other paperwork essential to the day to day functioning of the operation in the orphanage.
Make follow up with the social workers, the future Hope manager and the psychologist when they have requests.


Qualifications réquises

Degree in Accounting, Administration or Finances
Significant Experience in a similar position 3 or 5 years
Good knowledge of legal standards (labor and company law,
Able to work in a team and under pressure
Independent and able to communicate in writing and orally to gather the necessary information and advice.
(should speak french, creole and english)
Knowledge in Word, Excel, Power point, quickbooks
